Job Summary:

RTI International is requesting applications for a Logistics Assistant on a USAID-funded water and sanitation project in Ethiopia. The goal of the USAID Climate Resilient (CR) Water and Sanitation (WASH) Activity is to support accelerated access to inclusive and resilient WASH services targeting lowlands areas. The Logistics Assistant will be responsible for all logistical planning necessary for supporting and executing CR WASH activities.

This position will work closely with the Procurement Assistant, Procurement Manager, and the Director of Finance and Operations to ensure that the project is fully equipped to achieve project tasks and objectives.

The Logistics Assistant will be based in Addis Ababa, Ethiopia and report to the CR-WASH Procurement Manager.

Responsibilities

Essential Duties:

Store & Asset Management:

  • Ensure proper material receipt and issuance, store management, and documentation.

  • Organizing and managing the storage areas efficiently, always ensuring cleanliness and organization.

  • Maintaining accurate and timely record Keeping and documentation, records & update stock balances on a weekly, monthly, and quarterly basis, submitting reports to immediate supervisor and timely reporting of any obsolete, damaged, lost, or missing items.

  • Prioritize Labeling of all assets with asset tag and update the necessary documentation or templet before dispatching to field office or to implementing partners

  • Look after the stock, forecast, and alert the administrative assistant for timely initiation of requisition for stationeries and other office supplies to ensure smooth operations.

Fleet Management Responsibilities:

  • Ensure maximum fleet efficiency and effectiveness by allocating resources

  • Schedule and coordinate drivers and vehicles for project use, arrange for alternative transportation services (Rental vehicle and Meter taxies) in the absence of project vehicles.

  • Monitoring vehicle usage, fuel consumption, and ensure maintenance of accurate records using log sheet and other tracking mechanisms.

  • Supervise project and implementing partners drivers to ensure RTI Travel, and Fleet Management Policies are adhered.

  • Oversees scheduled maintenance & repairs, of RTI and Implementing Partners' vehicles to ensure they are maintained in line with the organization transport guidelines and manufacturers' recommendations.

  • Follow-up for timely execution of annual motor insurance renewal of the organization and Implementing Partners' Vehicles

  • Ensure timely reporting of vehicle related accidents and facilitate insurance claims.

Procurement Duties:

  • Ensuring that all procurements are completed within stipulated lead-times.

  • Assisting in ensuring that all procurements are in compliance with RTI policies, procedures, and SOPs,

  • Responsible for making venue and travel arrangements adhering to RTI protocol and procedures;

Logistics Support:

  • Facilitate distribution of materials and supplies, and ensure collection of proper documentation for.

  • Coordinate with RTI headquarter staff on orders and shipments; monitor the supply chain management from order to deliver.

  • Provide logistic support for local travel arrangements, ground transportation, and hotel reservations.

  • Handle customs clearance & procedures, follow-up for timely receipt of shipping document and secure import permit letter and other documentation from the donor and Government Ministries.

  • Assist temporary transfer and disposition of equipment and supplies to partners and ensure proper documentation.

  • Maintain hard copy and electronic versions of procurement documents and archive properly.

  • Support all CR WASH staff as needed to compile information for client and procurement reporting.

  • Support staff on project activities as assigned. 

  • Perform any other duties as requested by the supervisor to various logistical tasks as required.

Job Requirement

Minimum Required Education & Experience:

  • Bachelor’s Degree in Purchasing & Supplies Management, or Logistics Management or related field, with a minimum of 2 years of experience in a similar organization.

  • Professional training in procurement or logistics management is preferred.

  • Excellent knowledge of MS Word, Outlook, PowerPoint, Excel;

  • Excellent oral and written communication skills in English and proficiency in one or more local languages strongly preferred;

  • Ability to work in a fast-paced environment and meet deadlines under pressure; 

  • Ability to multi-task;

  • Proven prioritization, time management, and project management skills;  

  • Ability to work independently and within matrix project and program teams; 

  • Attention to detail and accuracy; 

  • Experience in the Lowland regions of Ethiopia preferred;

  • Work experience in Ethiopia required;

Physical/Mental Demands

Physical and mental demands of this role include those that must be met by an employee to successfully perform the essential functions of this job, as outlined above. Examples include: remaining in a stationary position for long periods of time; operating a computer and other office machinery; thinking, learning, and concentrating effectively and frequently communicating with other people, both within RTI and outside of RTI; frequently moving about inside and travel between offices and laboratories; frequently conducting laboratory site inspections (if applicable), ability to handle the stress associated in meeting frequent, multiple and tight deadlines, ability to work in excess of 40 hours per week as workload and deadlines may require, ability to have regular, reliable and predictable attendance.
