ROLE PURPOSE:
Child Protection Information Management System Officer is responsible for the implementation of the information management system as part of case management responses for children vulnerable to abuse, exploitation, neglect, and violence under Wag Himra field office. And he/she will be responsible for efficient and accurate data entry of individual cases, and produce monthly, disaggregated statistics and qualitative updates of progress upon demand according to the protocol for all project activities implemented under Wag Himra field office. The CP Information Management System officer assumes the responsibilities given under the purpose and undertakes his/her regular tasks by a well-defined framework of policies and procedures under immediate supervision. The CP Information Management System Officer plays a crucial role in ensuring quality data collection and management within child protection activities. This involves training partners on data collection methodologies and providing ongoing technical support for capacity building. The IMS officer will oversee the collection, compilation, and analysis of data on child protection cases and program performance from implementing partners. Additionally, the officer will ensure that protocols for confidential data sharing among stakeholders are adhered to, while maintaining privacy compliance.
Encode the information on the physical case files registered under case management into the Information Management System database both for Wag Himra FO & partners.
Review the quality of the data, identify any inconsistency, and report the project team members and line manager for corrective and follow-up actions.
Perform regular onsite and offsite backups to ensure data preservation based on the data protection policy in place.
Support by ensuring records of each child’s case is captured on the CPIMS+ and the master lists are produced and protracted as necessary and as needed for reference. This includes all stages of the case management process such as registration, initial assessment, case plan, referrals, follow-up and review, and case closure.
Responsible for ensuring all data protection protocols are observed while managing information collected.
Monitor adherence to procedure on individual cases and ensure that roles and responsibilities are upheld.
Closely support the Child Protection Project Officers, Case Management Officer and Community Based Social Workers on the use of CPIMS including filling of the case management paper forms, data backups, data screening, and managing their caseload by extracting individual caseload information.
Ensure that good practice is followed in managing and storage of information with respect for Do No Harm principles and confidentiality and adherence to the information sharing protocol especially within SCI;
Monitor and report trends in case management by producing monthly, disaggregated statistics and qualitative updates of progress on case management work based on an agreed template for stakeholders and SCI internally. Periodically run the trends and analysis from the IMS.
Perform any other activities as delegated by line manager and sub-office/Area Manager.
Work closely with the Country office CPIMS specialist, ICT team, and other relevant technical and field-staffs on the roll out of the CPIMS /CPIMS+ where necessary.
Participate on the adaptation/ contextualization, standardization, operationalization and harmonization of existing CPIMS/CPIMS+ tools, forms and resources, SOPs and information sharing protocol across development and emergency child protection (CP) programs.
Ensure system audit findings are addressed on time as per SCI CP standards.
Contributes to ongoing reflection and learning within the team to improve program performance.
Train partners on proper data collection methodologies and ensure they adhere to data quality standards.
Conducts capacity assessments and provide ongoing technical support and capacity building to implementing partners on data collection, analysis, and reporting procedures related to child protection activities.
Collect, compile, and analyse data from partners on child protection cases, interventions, and program performance.
Maintain a central child protection information management system (IMS) to securely store and organize data collected by the project and implementing partners.
Establish clear protocols for data sharing between the project, partners, and relevant stakeholders, ensuring data confidentiality and privacy compliance.
COORDINATION & REPRESENTATION:
Effectively communicate with project team members to provide the necessary information concerning reporting.
Regularly attend case management meetings at field level.
Represent at external meetings related to IMS monthly meetings as required.

University Degree or equivalent in Computer Science, IT, Statistics, or other relevant fields
At least 3-years of experience in information management, database management, and data analysis.
Preferable if a candidate has at least one year of experience with IMS+ (Information Management System).
Excellent understanding of data protection and confidentiality principles.
Very good conceptual understanding of the job
Fluency in English/ verbal and written.
Highly developed interpersonal and communication skills including influencing, negotiation and coaching.
Ability to work effectively as a team member and independently.
Fluency in Amharic language required.

Additional Note
Hardship allowance will be paid 50% of the basic salary for Female staff and 40% of basic salary for Male staff
