The Activity focuses on enhancing multisector coordination and accountability; improving nutrition practices and health-seeking behaviors; and strengthening the delivery of quality nutrition services within USAID’s Feed the Future Zones of Influence.

Job Summary:

The Assistant Finance and Admin Officer will maintain company ledgers and daily financial transactions, organize and maintain physical and electronic records, and prepare and manage documents, reports, and correspondence of various types.

Accountabilities:

  • identify discrepancies in ledgers and accounts, track them to the source, and correct them.

  • notifying the concerned Finance staff of any discrepancies in business ledgers and accounts.

  • preparing deposits and delivering them to banks.

  • collaborate with Financial Managers and other team members to successfully execute various accounting tasks.

  • maintain company ledgers and daily financial transactions.

  • create financial documents such as bills, invoices, pay-orders, payables, and receivables.

  • verify payments and deposits made through the company account and coordinate with the bank.

  • organize and maintain physical and electronic records.

  • prepare and manage documents, reports, and correspondence of various types.

  • compiling records of office activities.

  • photocopying and scanning.

  • preparing and sending outgoing mailings and packages and receiving documents from Area offices.

  • monitoring and ordering an inventory of office supplies.

  • Works on problems that are moderate in scope and require judgment in resolving or making recommendations.

  • Exercises judgment within defined policies and procedures to obtain solutions and perform duties.

  • Decisions made generally affect own job or specific functional area.

Supervision Given/Received:

  • Has no supervisory responsibility.

  • Receives instructions on new assignments.

  • Typically reports to a Manager.

Job Requirement

Education:

  • BA in Accounting, Finance, or another relevant field or equivalent combination of education and work experience

Experience:

  • Minimum of 2 years bookkeeping activities experience.

  • Excellent in Computer skills, including experience in using accounting software, Microsoft Word and Excel, Internet Explorer, etc.

  • Must be able to read, write, and speak fluent English.

  • Prior experience in a non-governmental organization (NGO) is preferred.

Typical Physical Demands:

  • Typical office environment.

  • Ability to spend long hours looking at computer screens and doing repetitive work on a keyboard.

  • Ability to sit and stand for extended periods.

  • Ability to lift/move up to 5 lbs.

Technology to be Used:

Personal Computer/Laptop, Microsoft applications (i.e., Office 365, SharePoint, Skype/Zoom/Teams), cell phone/mobile technology, and standard office equipment.

Travel Requirements:

Less than 10%
