Job Description
GeezJobs - Our Recruitment Department is currently on the lookout for exceptionally qualified professionals to take on the role of Commercial Building Administrator at our client's company.
1. Tenant Relations:
Serve as the primary point of contact for tenants, addressing inquiries, concerns, and requests in a timely and professional manner.
Foster positive relationships with tenants by providing exceptional customer service and promptly resolving issues.
Coordinate tenant move-ins, move-outs, and lease renewals, ensuring smooth transitions and adherence to lease agreements.
2. Property Maintenance and Inspections:
Conduct regular inspections of the property to identify maintenance needs, safety hazards, and cleanliness standards.
Coordinate and oversee maintenance and repair activities, including obtaining bids, scheduling contractors, and ensuring work is completed to satisfaction.
Maintain accurate records of maintenance activities, expenses, and warranties.
3. Budgeting and Financial Management:
Assist in the development of annual operating budgets and capital improvement plans.
Monitor expenses and revenue streams to ensure financial goals are met and expenses are within budgetary constraints.
Review invoices, track expenses, and process payments on time.
4. Lease Administration:
Maintain lease records and ensure compliance with lease terms and conditions.
Coordinate lease negotiations, prepare lease documents, and enforce lease agreements.
Track lease expirations and proactively work to minimize vacancies and maximize occupancy rates.
5. Vendor Management:
Identify and engage vendors for various property services, such as cleaning, landscaping, security, and maintenance.
Negotiate vendor contracts and ensure services are performed to agreed-upon standards and within budgetary guidelines.
Build and maintain strong relationships with vendors to ensure reliable service delivery.
6. Emergency Response and Security:
Develop and implement emergency response plans to ensure the safety and security of tenants and property assets.
Respond promptly to emergencies, such as fires, floods, or security incidents, and coordinate appropriate actions with tenants, emergency services, and property owners.
Maintain security measures, including surveillance systems, access control, and alarm systems.
7. Regulatory Compliance:
Stay informed of relevant laws, regulations, and building codes related to commercial property management.
Ensure property compliance with health, safety, environmental, and accessibility regulations.
Obtain necessary permits and licenses as required by local authorities.
Bachelor's degree in Business Administration, Real Estate, Marketing, Management, or related field (preferred).
Proven experience in commercial property management or related field.
Strong knowledge of property management principles, practices, and regulations.
Excellent communication, interpersonal, and negotiation skills.
Ability to prioritize tasks, manage time effectively, and work independently.
