Job Description

The purpose of the Equipment Administration Manager position is to plan, organize, direct and coordinate all the activities of the Department. The Department Manager is also responsible for the overall coordination and control of the transport and maintenance of AM AM Investment plc Construction machineries, Equipment’s, plants and tools, to ensure efficient and effective services in the implementation of construction activities.

RESPONSIBILITIES 

Plan, organize, direct and coordinate all the activities of the Department.

Assist and advise on developing policies and procedures pertinent to equipment administration and their periodic revision.

Designs and implement a sound internal control system to safeguard vehicles and machineries.

Establishes and operates a machinery and equipment movement/transfer control system.

Establishes methods for the calculation of machineries lease and rentals and revise them periodically as required.

Monitors and compare actual costs against rental rates; carry out lease and rental agreements.

Directs and coordinates the proper allocation and report of revenues for leased and hired equipment.

Regularly review all working practices, procedures and equipment to ensure that they are the most efficient, effective & available.

Properly records and document machineries of the Company.

Ensures and follows up the appropriate assignment and proper usage of vehicles and machineries both at the Head Office and Projects; Collects summarized    reports concerning the Company’s equipment from responsible units and review and analyze them; Submits quarterly vehicle and machinery status report to the D/Manager of the Operation Division.

Advise users on equipment performance, characteristics, usage and any other related issues.

Advise and assist top management in the determination of the Company’s equipment requirements prepares recommendations on cost estimates and specifications for equipment needs.

Represent the Department in all equipment management and service related matters.

Monitor the appropriate application of Transport Polices and Procedures of the Company.

Assesses, prepare and submit to suppliers all claims subject to warranty terms within the period stipulated.

Provides technical advice and guidance to field equipment operation personnel.

Consolidate all vehicle and equipment owning and operating cost and complete cost analysis reports.

Operates a centralized pool of surplus equipment for short term rental.

Arranges equipment’s to be hired in on request basis from projects.

Ensures projects receive the appropriate machinery on time and monitors machinery operational, down & idle time (OID).

Supervises operators and drivers availability; reserves required number of drivers and their proper utilization in case of night shift is required.

Ensures each vehicle or machinery shall be supplied with Log Book in which the driver records details of movements.

Maintains  a  file  for all  machinery and vehicle with history jacket  and  ensures  that  all  vehicle  have a comprehensive motor insurance.

Receives reports connected to accidents and damages and follow up their immediately submission to the insurance company.

Plans and programs the annual inspection of all AM AM construction vehicles and sees to it that all vehicles are inspected on time.

Periodically follows up equipment administrators, officers and data encoders.

Regularly visits and orient all data collectors, data processors, operators and drivers about their responsibility and also takes disciplinary measures when necessary.

Follows up equipment fleets maintenance.

Checks and verifies fuel requests and ensures proper authorization before fuel is issued including keeping fuel records

Work with fuel controlling committee and handover.

Carry out a timely performance evaluation of employees reporting to him/her.

Qualification

  • MSc /BSc in, Mechanical Engineering, Automotive Engineering or related

Experience

  • 8/6 years of extensive construction industry experience

Special Skill and Knowledge

  • Proficiency in the use of computers

  • Training on Equipment management and application of related software's

  • Training on Management Skill
