What is an Operation Manager at our client's company?

A Cafe and Bakery Operation Manager at our client's company is an individual responsible for organizing and managing the day-to-day operations of our bakery/café. They oversee staff, ensure excellent customer service, handle production, ordering, and inventory, and track financial records to increase profitability and customer engagement. The Operation Manager works under the leadership of the General Manager.

What does an Operation Manager do?

A Cafe and Bakery Operation Manager is responsible for managing the daily operations of a cafe, including scheduling staff, training employees, ordering supplies, monitoring finances, and maintaining a clean and inviting environment. They also nurture customer relationships, resolve issues, create promotional and marketing strategies, and strive to create a popular and reputable local cafe.

Bakery/Café Operation Manager responsibilities include:

  • Manage day-to-day operations of the cafe

  • Hire and onboard new wait staff and baristas

  • Train employees on drink preparation and proper use of coffee equipment

  • Coordinate with vendors and order supplies, as needed (like takeaway cups, coffee, milk and other ingredients)

  • Make sure products (food and beverages) are produced as per recipe to maintain targeted quality and consistency

  • Make sure all premises, indoor and outdoor, are kept clean and free of pests.

  • Make sure that the store, kitchen, and serving areas are functional as per the City Council Health Office Regulations

  • Make sure all communications with local authorities like the Tax Office, Health Office, and Trade Office are done on a timely basis and correctly (including monthly declarations, annual renewal of licenses, and like)

  • Maintain updated records of daily, weekly, and monthly revenues and expenses

  • Add new menu items based on seasonality and customers’ preferences (for example vegan and gluten-free baked goods)

  • Advise staff on the best ways to resolve issues with clients and deliver excellent customer service

  • Nurture friendly relationships with customers to increase loyalty and boost our reputation

  • Prepare and organize employees' employment contract files, facilitate annual leave, and approve daily staff attendance to the accounting department.

Job brief

The Operation Manager must organize daily operations procedures and motivate the staff to provide excellent customer service.

Operation Manager Responsibilities include scheduling shifts for baristas and waiters/waitresses, monitoring daily expenses and revenues, and together with the store department ordering supplies like coffee, milk, and other inputs, as needed. He or she should be available to work during opening hours, including weekends and holidays.

Ultimately, the operation manager will help increase profitability, boost customer engagement, and turn our cafe into a favorite local spot.
