Job Description

Providing assistance to process all the procurement requests related to bases: quotation requests, visiting suppliers, price monitoring, and contract follow ups, provides the best and most efficient Logistics support.

ESSENTIAL RESPONSIBILITIES AND DUTIES:

Driving

Receive work assignments from immediate supervisorer. 

Safely, reliably and time consciously drive ZOA staff, partner staff, consultants, visitors, project participants for ZOA business purposes 

Ensure vehicle is kept clean, tidy and in good working condition always 

Ensure vehicle is always kept secure 

Ensure vehicle is given regular/day-to-day maintenance checks: check oil, water, battery, brakes, tyres, etc. 

Ensure ZOA vehicles repairs are carried out properly by official manufacturers specifications as ordered by the supervisor

Complete the vehicle logbook after each trip and ensure travellers sign off 

Present vehicle logbook at the end of each month to the transport and logistics officer 

Exercise a high-level security consciousness all the time when driving especially in the early or late hours and in unsecure areas 

Ensure vehicles are parked always in safe locations

Maintain high standard of service for both internal and external guests

Ensure punctuality and safe transport. 

Ensure that safe driving practices are adhered to including local driving codes and internally agreed standard.

Vehicle maintenance 

Ensure assigned vehicle is in sound and operable condition 

Track vehicle servicing dates and notifies timely for the immediate supervisor/Log Coordinator

Perform minor repairs and notifies immediate supervisor/Log Coordinator if major repairs are necessary 

Complete the vehicle maintenance log 

Coordinate with the garage

Timely present vehicle maintenance log 

Purchasing

Provide driving services to transport both personnel and purchased or donated goods of the project

Send quotation requests for suppliers and collect price quotations.

Handle local purchases of materials and capital items and submit all purchase items to the storekeeper through official goods receiving note of the organization.

Undertake any other related activities assigned by his/her immediate supervisor

Review and compare transportation costs from different vendors

Manage vehicle movement arrangement

Receive and process warehouse stock products (pick, unload, label, store)

Perform inventory controls and keep quality standards high for audits

Collect and send invoices to appropriate department which includes country office logistics department

Keep a clean and safe working environment and optimise space utilisation

Assist peers as required (coordinate meetings, training, etc.)

Communicate and cooperate with supervisors and coworkers

Follow quality service standards and comply with procedures, rules and regulations of ZOA

Obtain RFQ’s and submit to proper department

Responsible for organization of property maintenance

Send procurement reports on time

Provide general support to visitors

Any other duties assigned by the Line Manager

Job Requirements

Diploma/Degree in Logistics/Supplies Management,  Business management/Administration and/or related fields

MUST have a valid driving permit/license

At least 3 years’ uninterrupted driving experience.

Proficiency in inventory software, as well as Microsoft Word, Excel, Outlook

Strong organizational skills
