Kadisco Paint and Adhesive Industry S.C. previously known as Kadisco Chemical Industry PLC is a privately owned company located in Addis Ababa in the Akaki Kality Industrial Zone area. Kadisco is a company that traces its origins back from a small automotive parts dealership that was operating in one of the busy streets of Addis Ababa back in late 60’s. During the period until 1975 it had the opportunity to act as the sole distributor for Sadoline Paints. In 1979 it was registered as the sole company to manufacture adhesives and glue. By stages, the company developed into a diversified paint manufacturer.

In February 2015, Asian Paints Ltd and Kadisco Paint and Adhesive Industry SC formed a joint venture for business in Ethiopia and came to be known as Kadisco Asian paints. Asian Paints is India’s leading paint company and Asia’s second largest, with a group turnover of USD 2.7 billion. The group has an enviable reputation in the corporate world for professionalism, fast track growth, and building shareholder equity. Asian Paints operates in 19 countries and has 26 paint manufacturing facilities in the world servicing consumers in over 65 countries. 

Today the company produces a full range of paints for the construction, industrial and automotive sectors. It also produces wood and concrete lacquers as well as adhesives for the wood and leather industry.

Position Summary

The Receptionist serves as the initial point of contact for our company, playing a vital role in creating a positive and professional image. The ideal candidate should be organized, detail-oriented, and possess strong interpersonal and communication skills. By maintaining a welcoming and organized reception area, the Receptionist contributes to a positive atmosphere and ensures smooth operations within the company.

Key Duties and Responsibilities

  1. Welcome visitors and clients with a warm and friendly attitude, ensuring a positive first impression of our company.

  2. Answer incoming phone calls promptly and direct them to the appropriate departments or individuals.

  3. Provide accurate and helpful information to callers and visitors regarding our products, services, and general inquiries.

  4. Manage and distribute incoming and outgoing mail, packages, and deliveries efficiently.

  5. Maintain a clean and organized reception area, ensuring it is always presentable.

  6. Schedule appointments, meetings, and conference rooms, and manage the corresponding calendars effectively.

  7. Assist with travel arrangements and accommodations for employees and guests, when necessary.

  8. Monitor and maintain office supplies inventory, placing orders as needed.

  9. Assist with administrative tasks such as data entry, filing, photocopying, and scanning documents.

  10. Collaborate with various departments to ensure effective communication and smooth workflow.

  11. Handle sensitive and confidential information with utmost discretion and maintain high levels of confidentiality.

  12. Provide general administrative support to other teams and executives as required.

  13. Demonstrate a professional and courteous demeanour when interacting with colleagues, clients, and visitors.

Reporting to: Senior Administration Executive

Job Requirements

Qualification and Experience Requirements

  • Bachelor’s degree from a recognized University; additional education or certification in office administration is a plus.

  • Proven experience as a receptionist or in a similar customer-facing role.

  • Excellent verbal and written communication skills, with a strong command of the English language.

  • Polite and professional telephone etiquette.

  • Exceptional interpersonal skills, with the ability to interact effectively with individuals at all levels.

  • Strong organizational and time management abilities, with the capacity to handle multiple tasks simultaneously.

  • Proficiency in using office equipment, including telephone systems, fax machines, and printers.

  • Familiarity with common computer software applications, such as Microsoft Office Suite.

  • Attention to detail and accuracy in maintaining records and documentation.

  • Ability to work independently with minimal supervision, while also being a team player.

  • Flexibility to adapt to changing priorities and handle unexpected situations calmly and efficiently.

  • Previous experience in a professional environment or corporate setting is preferred.

  • Punctuality and reliability in attending to assigned duties

  • Telephone Etiquette: Proficiency in answering phone calls promptly, using proper phone etiquette, transferring calls accurately, and taking messages when necessary.

  • Communication Skills: Excellent verbal and written communication skills to interact effectively with callers, visitors, clients, and employees. Ability to convey information clearly and professionally.

  • Computer Skills: Proficiency in using computer software applications, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with email and calendar management.

  • Office Equipment Operation: Ability to operate office equipment such as telephone systems, fax machines, printers, scanners, and photocopiers efficiently and effectively.

  • Scheduling and Calendar Management: Competence in managing appointments, meetings, and conference room bookings, ensuring accuracy and timely updates.

  • Customer Service: Strong customer service skills to provide a positive and friendly experience to visitors, clients, and callers. Ability to handle inquiries, complaints, and requests in a professional and helpful manner.

  • Organizational Skills: Effective organizational skills to maintain a neat and organized reception area, manage records, and handle administrative tasks in a systematic manner.

  • Time Management: Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities simultaneously while ensuring timely completion of duties.

  • Data Entry and Record Keeping: Proficiency in accurate data entry, maintaining records, and documenting information in a systematic and organized manner.

  • Confidentiality and Discretion: Understanding of the importance of handling sensitive and confidential information with strict confidentiality and discretion.

  • Office Administration: Familiarity with basic office administrative procedures, including filing, photocopying, scanning, and mail distribution.
