Job Description
The General Service Supervisor is responsible for overseeing the day-to-day operations of the general services department at East Africa National Distribution Share Company (END S.C.). This role involves supervising staff, managing service delivery, and ensuring that all general services are performed efficiently and in accordance with company policies and standards. The General Service Supervisor will play a key role in maintaining a well-organized, safe, and productive working environment.
1. Staff Supervision and Management:
Supervise and coordinate the activities of general service staff, including cleaners, maintenance workers, and other support personnel.
Provide training and support to staff to ensure they perform their duties effectively and in line with company standards.
Conduct performance evaluations and provide feedback to staff, addressing any performance issues as needed.
2. Service Delivery and Operations:
Oversee the delivery of general services, including cleaning, maintenance, and facility management, ensuring that all tasks are completed in a timely and efficient manner.
Monitor service quality and address any issues or complaints raised by employees or visitors.
Ensure that all general services are carried out in compliance with health and safety regulations and company policies.
3. Facility Management:
Coordinate the upkeep and maintenance of company facilities, including offices, restrooms, and common areas.
Manage the inventory of cleaning supplies, maintenance tools, and other general service equipment.
Schedule and oversee routine maintenance tasks, such as repairs, painting, and landscaping.
4. Health and Safety:
Ensure that all general service operations adhere to health and safety regulations, including proper handling of cleaning chemicals and maintenance equipment.
Conduct regular safety inspections of facilities and report any hazards or safety concerns to the General Service Manager.
Implement and enforce safety procedures and protocols to prevent accidents and injuries.
5. Budget and Resource Management:
Assist in the preparation and management of the general services budget, including tracking expenditures and ensuring cost-effective use of resources.
Identify and recommend opportunities for cost savings and efficiency improvements in general service operations.
Coordinate with vendors and service providers for procurement of supplies and services, ensuring compliance with company policies and contracts.
6. Reporting and Documentation:
Maintain accurate records of general service activities, including service requests, maintenance logs, and inventory levels.
Prepare and submit regular reports on general service operations, including service quality, staff performance, and budget performance.
Ensure proper documentation and record-keeping for audits and compliance purposes.
7. Customer Service:
Address and resolve any issues or concerns raised by employees or visitors regarding general services.
Provide excellent customer service and ensure a positive experience for all stakeholders.
A. Education:
Bachelor’s degree in Business Administration, Facility Management, or a related field.
Additional certifications in facility management or general services are a plus.
B. Experience:
A minimum of 5 years of experience in facility management, general services, or a related field.
Previous experience in a supervisory or management role is preferred.
Proven track record of effectively managing service delivery and maintaining high standards of quality.
Knowledge, Skills, Competence:
Understanding of general services operations, including cleaning, maintenance, and facility management.
Familiarity with health and safety regulations and best practices.
Knowledge of budgeting and resource management principles.
Strong leadership and supervisory skills, with the ability to manage and motivate a team.
Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
Effective problem-solving and decision-making skills, with the ability to address and resolve service-related issues.
Ability to manage and coordinate general service activities efficiently, ensuring high standards of service delivery.
Strong communication and interpersonal skills, with the ability to interact positively with employees and stakeholders.
