Job Description

The Human Resource Officer at East Africa National Distribution Share Company (END S.C.) plays a key role in supporting the HR function by administering various human resource programs and processes. The HR Officer is responsible for implementing HR policies, managing employee records, assisting in recruitment processes, and ensuring compliance with employment laws and regulations. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information.

Duties and Responsibilities

1. Recruitment and Onboarding:

  • Assist in the recruitment process, including posting job openings, screening resumes, and scheduling interviews.

  • Coordinate and conduct new employee orientations to ensure smooth onboarding.

  • Prepare and manage employment contracts, job descriptions, and offer letters.

2. Employee Records Management:

  • Maintain and update employee records in the HR Information System (HRIS), ensuring accuracy and confidentiality.

  • Manage employee documentation, including contracts, performance reviews, disciplinary actions, and leave records.

  • Ensure compliance with data protection regulations and company policies related to employee information.

3. HR Policy Implementation:

  • Support the HR Manager in implementing and enforcing HR policies and procedures.

  • Communicate HR policies to employees and ensure understanding and adherence.

  • Assist in developing and updating employee handbooks, policy manuals, and other HR documentation.

4. Payroll and Benefits Administration:

  • Coordinate with the finance department to ensure accurate payroll processing, including tracking attendance, leaves, and overtime.

  • Administer employee benefits programs, including health insurance, retirement plans, and other perks.

  • Assist employees with inquiries related to payroll and benefits, providing timely and accurate information.

5. Employee Relations:

  • Act as a point of contact for employee inquiries, providing guidance on HR-related issues.

  • Support the HR Manager in addressing employee grievances and disciplinary matters.

  • Promote a positive work environment by organizing employee engagement activities and events.

6. Training and Development:

  • Assist in identifying training needs and coordinating training programs for employees.

  • Maintain training records and track employee participation in development programs.

  • Support the HR Manager in developing and implementing employee development plans.

7. Compliance and Reporting:

  • Ensure compliance with employment laws and regulations, including labor laws, health and safety regulations, and anti-discrimination laws.

  • Prepare and submit required HR reports, such as headcount reports, turnover rates, and compliance audits.

  • Monitor changes in employment laws and regulations, ensuring that HR practices remain up to date.

8. HRIS and Data Management:

  • Manage the HRIS, ensuring that employee data is accurately recorded and updated.

  • Generate HR reports and analytics to support decision-making and HR planning.

  • Ensure the security and confidentiality of HR data in accordance with company policies.

Job Requirements

PERSONS SPECIFICATIONS 

4A. Education:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.

4B. Experience:

  • A minimum of 4 years of experience in a human resources role, with exposure to recruitment, employee relations, and HR administration.

  • Experience in the manufacturing, distribution, or construction materials industry is a plus.

Knowledge, Skills, Competence:

  • Knowledge of HR best practices, employment laws, and regulations.

  • Understanding of payroll processing and benefits administration.

  • Familiarity with HR Information Systems (HRIS) and data management.

  • Excellent communication and interpersonal skills, with the ability to interact with employees at all levels.

  • Strong organizational and time management skills, with the ability to manage multiple tasks and priorities.

  • Attention to detail and accuracy in handling employee records and data.

  • High level of integrity and professionalism, with a commitment to maintaining confidentiality.

  • Ability to work independently as well as part of a team, with a proactive approach to problem-solving.

  • Strong analytical skills, with the ability to generate reports and insights from HR data.
