Key Responsibilities

Procurement Process: 

  • Prepare and process purchase orders, ensuring accuracy and compliance with specifications and pricing.

  • Creating, issuing, and tracking purchase orders to ensure timely procurement of items, while verifying the accuracy of specifications.

  • Ensuring that the products and services acquired/ purchased meet the organization’s quality standards, inspecting deliveries and following up with suppliers regarding any discrepancies.

  • Ensuring that materials are received or deliveries are made , collecting goods receiving notes , prepare and maintain database of procured items/materials, keeping track of inventory to prevent shortages or overstock situations and initiating purchase requests as needed.

  • Monitor inventory levels and coordinate with departments to forecast needs and manage stock levels effectively.

  • Identify and evaluate potential suppliers, procure necessary goods and services, ensuring they meet quality and cost standards.

  • Monitoring expenditures and ensuring that the organization obtains goods and services at the best possible prices while adhering to budget constraints.

Invoice Review and record keeping;

  • Review invoices of procurement for accuracy, ensuring that billing aligns with purchase orders, inclusion of procurement associated costs and delivery receipts.

  • Update and follow up billing of procurement cost database and maintain and provide up to date procurement status information.

  • Prepare procured items database to warehouse operations on a daily basis.

Compliance and Reporting: 

Ensure adherence to organizational procurement policies and prepare reports on purchasing activities and supplier performance.

Cross-Departmental Collaboration:

- Work closely with the General manager and other departments to understand their procurement needs and provide support.

Market Analysis: 

  • Analyze market trends and pricing to make informed purchasing decisions that align with budgetary constraints.

  • Perform other duties assigned by the General Manager.

Job Requirements

Qualifications

Education; bachelor's degree or above in Procurement or Purchasing, Supply Chain Management or Finance. 

Work experience;  6 years and above previous work experience as a purchaser or procurement or a similar role or above . Practical experience in the export-import business is essential.

Required Skills ; Attention to detail, familiarity with purchasing, reporting , communication abilities and purchasing related software and tools, as well as general computer skills, is important.
