Job Description

Reports to; General manager

Duties and Responsibilities:

Coordinating Shipments. 

  • Preparing and maintaining proper importation documentation and record keeping.

  • Process import permit applications such as securing pre-import permits, bank permits, insurance , obtain related necessary approvals from respective ministry authorities and follow-up for a timely efficient and error free importation process.

  • Overseeing the logistics of import shipments, including scheduling and tracking shipments to ensure timely delivery.

  • Ensuring that warehouse or space for imported materials is available and appropriate documentation is in place.

Customs Clearance.

  • Preparing and submitting necessary customs documentation and ensuring compliance with international trade regulations.

Vendor and Supplier Communication.

  • Maintaining regular and on-time communication with suppliers and vendors to resolve any issues related to shipments, payments, or product quantity and quality. 

  • Engaging in negotiations with suppliers and freight forwarders to secure favorable terms and pricing for shipping and handling.

Monitoring Compliance, data analysis and reporting. 

  • Ensuring that all import activities comply with local and international laws, including customs regulations and trade agreements.

  • Ensuring that imported materials are delivered and company receives materials as per the import document specifications and other applicable regulations.

  • Identifying and addressing and resolving any issues that arise during the import process, such as delays, discrepancies and regulatory challenges.

  • Preparing and submitting reports on import activities to the General Manager, Finance and regulatory bodies when necessary, ensuring compliance to stakeholders.

  • Analyzing import data to identify trends, compliance issues, and opportunities for cost savings or process improvements.

  • Building and maintaining relationships with customs authorities, freight forwarders, and banks in the import process.

  • Developing and implementing better ways of doing business and procedures related to import operations to enhance efficiency and compliance.

Job Requirements

Qualifications

  • Education: Bachelor’s degree or above in Logistics, Supply Chain management, Procurement or similar field of study; additional training in import and export procedures is a plus.

  • Work Experience: 5 years and above previous work experience in a similar role as logistics or procurement specialist in import -export business.

  • Required Skills: Strong organizational and reporting skills, attention to detail, proficiency in international procurement, logistics and inventory management.

  • Proficiency in written and verbal communication skills in English language is essential.
