Job Description

The Sales Coordinator at East Africa National Distribution SC. plays a crucial role in supporting the sales team by coordinating sales activities, managing customer relationships, and ensuring smooth sales operations. The Sales Coordinator is responsible for processing orders, handling customer inquiries, preparing sales reports, and supporting the National Sales Manager in achieving sales objectives. This role requires excellent organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Duties and Responsibilities

  1. Sales Support and Coordination:

    • Assist the Domestic Sales Manager and the sales team in planning and executing sales strategies and activities.

    • Coordinate sales activities, including scheduling meetings, preparing sales presentations, and organizing sales events.

    • Manage and process sales orders, ensuring accuracy and timely delivery of products to customers.

    • Liaise with other departments, such as logistics and finance, to ensure smooth order processing and delivery.

  2. Customer Relationship Management:

    • Serve as the primary point of contact for customers, handling inquiries, resolving issues, and providing product information.

    • Maintain and update customer records in the CRM system, ensuring all information is accurate and up-to-date.

    • Build and maintain strong relationships with key customers, distributors, and partners.

    • Ensure high levels of customer satisfaction by addressing customer needs and following up on orders.

  3. Sales Reporting and Analysis:

    • Prepare and maintain regular sales reports, including sales performance metrics, order status, and inventory levels.

    • Assist in analyzing sales data to identify trends, opportunities, and areas for improvement.

    • Provide sales forecasts and other relevant data to the Domestic Sales Manager to support decision-making.

    • Monitor and report on the effectiveness of sales activities, campaigns, and promotions.

  4. Administrative Support:

    • Manage sales documentation, including contracts, agreements, and order forms, ensuring they are properly filed and accessible.

    • Prepare and distribute sales-related communications, such as newsletters, promotional materials, and customer updates.

    • Coordinate travel arrangements, meetings, and other logistical details for the sales team.

    • Assist in managing the sales budget by tracking expenses and processing invoices.

  5. Sales Process Improvement:

    • Identify opportunities to streamline and improve sales processes, enhancing efficiency and customer service.

    • Collaborate with the sales team to implement best practices and standard operating procedures.

    • Support the Domestic Sales Manager in implementing new sales tools, technologies, and systems.

  6. Training and Development:

    • Assist in organizing training sessions for the sales team on products, services, and sales techniques.

    • Provide ongoing support and guidance to new sales team members during their onboarding process.

    • Stay updated on industry trends, market conditions, and competitor activities to provide relevant insights to the sales team.

  7. Compliance and Risk Management:

    • Ensure that all sales activities comply with company policies, legal requirements, and industry standards.

    • Monitor and report any potential risks or issues related to sales operations, customer relationships, or order processing.

    • Support the Domestic Sales Manager in developing and implementing risk management strategies.

  8. Customer Feedback and Continuous Improvement:

    • Gather and analyze customer feedback to identify areas for improvement in products, services, or sales processes.

    • Collaborate with the sales and marketing teams to address customer concerns and enhance the overall customer experience.

    • Contribute to the continuous improvement of sales strategies and operations by providing insights and recommendations.

Job Requirements

Education:

  • Bachelor’s degree in Business Administration, Marketing, Sales, or a related field.

  • A Master’s degree or relevant certifications in Sales Management will be an added advantage.

Experience:

  • A minimum of 6 years of experience in sales coordination, customer service, or a related role.

  • Experience in the cement, construction materials, or related industries is an advantage.
