Job Description

International Community School, Addis Ababa (ICS) is seeking a dedicated Administrative Assistant for its Athletics and Activities department. This position will support our Athletics program across Elementary, Middle, and High Schools.

The role involves managing administrative tasks for ISSEA and ISSAAA events (both local and international sports activities), facilitating communication and marketing efforts within the Athletics division, and assisting with various administrative tasks to ensure the smooth operation of the Athletics and Activities department.

Key Responsibilities

  • Coordinate ISSEA events, including communication with participating schools, organizers and parents, as well as on-campus logistics and event result reporting.

  • Organize set-ups, student accommodations, transportation, and medical/security support for ISSEA and ISSAAA events.

  • Assist in the planning of ISSEA opening/closing ceremonies, catering and awards.

  • Ensure availability and procurement of materials for all ISSEA and ISSAAA events.

  • Organize local student group transportation with the General Service department.

  • Collect and manage student documents for international trips.

  • Coordinate student registrations, uniforms, and awards ceremonies for ES, MS, and HS sports.

  • Liaise with Boosters Club, PTO, and other stakeholders for major events.

  • Perform other administrative and secretarial duties as required.

Job Requirements

Qualifications:

  • Bachelor's degree in Management or a related field

  • Minimum 3 years of relevant experience

Knowledge, Skills, and Abilities

  • Strong written and verbal communication skills in English

  • Demonstrated ability to work collaboratively with all levels of staff

  • Excellent problem-solving, decision-making, and conflict resolution skills

  • Exceptional organizational and attention to detail

  • Willingness to work irregular hours occasionally (early mornings, late evenings, Saturdays)

  • Professional attitude, approach, and commitment to integrity

  • Proven interpersonal skills to interact with vendors and the community

  • Ability to exercise initiative and organize information/materials

  • Experience working in an international school or similar environment
