Supervision and Leadership:
Provide leadership and supervision to the Office Administrator, Procurement Officer, and other contributors within the Indirect Procurement and Administration function.
Conduct regular meetings with team members to review performance, set objectives, and provide feedback and guidance.
Oversee the daily operations of all Indirect Procurement and Administration functions to ensure tasks are completed efficiently and in compliance with company policies.
Procurement Management:
Supervise the procurement process, including the creation of purchase orders, negotiation with suppliers, and ensuring the timely acquisition of goods and services.
Ensure inventory levels are monitored and maintained to prevent shortages and overstocking.
Review and analyze procurement reports to ensure cost-effective purchasing and compliance with budgetary constraints.
Coordinate with warehouse staff to oversee the storage and distribution of goods.
Reception and Administrative Support:
Ensure that office supplies, snacks, and other necessary items are available and managed efficiently.
Manage the distribution of stationery and consumables to various functions as needed.
Office Maintenance and Utilities Management:
Supervise office cleaning and maintenance activities to ensure a safe and comfortable work environment.
Oversee the maintenance of office facilities, including repairs of restrooms, electrical systems, and furniture.
Manage utility services, including electricity, water, and telecommunications, ensuring timely payments and resolving any issues.
Oversee the lifecycle management of office equipment, ensuring proper maintenance and timely replacements.
Travel & Fleet Coordination:
Supervise the arrangement of travel logistics, including booking tickets and accommodations for employees' local and international travel.
Coordinate with travel agencies and service providers to secure the best travel arrangements for employees.
Monitor and manage fuel consumption and vehicle maintenance.
Ensure compliance with rental car contracts and manage relationships with rental service providers and follow up the timely amendments of contracts.
Supervise the performance and conduct of both internal and external drivers.
Liaising Activities:
Act as a liaison with external agencies such as the Ethiopian Investment Commission (EIC) and the Industrial Parks Development Corporation (IPDC).
Oversee the preparation of application letters and ensure timely submission to governmental and private offices.
Oversee the renewal of vehicle insurance
Serve as the primary contact for other business-related matters requiring liaison.
Maintain records of all foreign and local documentation,
Supervise the tracking of company assets, ensuring proper documentation and management, ensuring timely renewals and compliance.
Education: Bachelor’s degree in business administration, Management, or a related field.
Experience: Minimum of 3-5 years of experience in procurement, administration or general services, preferably within a FM industry.
