Job Description
Care Epilepsy Ethiopia is committed to enhancing the quality of life for individuals affected by epilepsy through comprehensive care, support, and education. We are looking for a motivated, detail-oriented, and diligent Administrative and Finance Officer to ensure the efficient and smooth operation of the organization. This role combines administrative management with extensive financial responsibilities to support the organization’s mission.
Administrative Duties:
Manage day-to-day administrative operations, including office management, correspondence, documentation, and maintaining records
Coordinate meetings, conferences, and events by handling logistics, venues, and participant communication.
Respond to inquiries via phone, email, and in person, providing accurate information or directing queries appropriately.
Support human resources functions such as recruitment, induction, and employee records maintenance.
Draft, proofread, and format letters in both Amharic and English.
Organize and attend meetings, taking minutes and deputizing as needed.
Perform general office tasks such as supplies management, mail handling, and workspace organization.
Organize community education programs, impactful campaigns like National Epilepsy Week, and training sessions.
Collaborate with internal and external stakeholders for effective communication and event coordination.
Provide information and support on epilepsy-related issues to people with epilepsy, their families, and care give
Finance Duties
Assist in budget tracking, financial recordkeeping, and grant applications to ensure accuracy.
Manage petty cash processes, make payments, and produce regular activity reports.
Manage day-to-day financial transactions, including expenses and payroll, while maintaining proper documentation using available software.
Prepare and analyze journal vouchers to ensure financial accuracy. •
Prepare monthly cash and bank reconciliation reports and manage petty cash funds, ensuring timely settlement of payments. •
Prepare financial reports including VAT payment documents, payroll taxes, and other necessary financial submissions. •
Maintain accurate financial records, manage fixed assets in the accounting system, and post transactions using software like Peachtree. •
Oversee procurement processes, ensuring all purchases align with organizational needs and financial policies. Maintain records of all assets and ensure proper documentation. •
Arrange documents for audit purposes, ensuring all documents meet required audit standard
Location: Addis Ababa
Type: Full-time, 12-month contract with the possibility of extension
Reporting to: Administrative and Finance Manage
REQUIRED JOB EXPERIENCE AND QUALIFICATIONS: •
Bachelor’s degree in finance
Accounting, Business Administration, Public Administration, or a related field.
Minimum of 1 year of experience in a similar administrative or finance role.
Proficiency in accounting software (e.g., Peachtree) and advanced MS Excel skills.
Strong attention to detail with excellent organizational and time-management skills.
Strong communication skills in both Amharic and English.
Ability to work collaboratively within a team and manage multiple tasks effectively
WORKING HOURS AND CONDITIONS: •
Full-time, Monday to Friday, 2:30 AM to 11:30 PM (Ethiopian time) with a one-hour lunch break.
Some overtime work may be required.
We have a monthly clinic on Sunday mornings from 9:00 am to 12:30 pm (3-6:30 local time), which requires your attendance.
You will be compensated with time off.
The role may involve travel across different sites and regions
