Job Description

Dan Church Aid (DCA) is a Denmark-based international NGO registered under certificate # 1083 by the Authority for Civil Society Organizations and working to improve the wellbeing of particularly the rural and pre-urban people in Ethiopia. DCA’s Programme mainly focus on save live, building resilience and fighting inequality targeting highly disaster-prone areas in Oromia, Amhara, Afar, and Gambella regions.

Reporting to: Senior Procurement and Logistics Manager

Expected Start Date: As soon as possible

The overall objective of a Procurement and Logistics assistant is to provide support to the procurement and logistics team in efficiently acquiring goods and services. This involves competitive procurement methods, professional supplier management, quality assurance, and strategic sourcing. Additionally, the post holder will have a responsibility of ensuring proper materials flow to the ultimate user. 

The Purpose of Procurement and Logistics Assistant is responsible for providing support to the DCA Procurement and Logistics Unit in carrying out procurement and logistics functions for the Country Office. The main responsibilities include Digitalizing procurement files in ADMIND, Sourcing and vendor evaluations, Processing purchase orders, providing inventory management support, coordinating logistics, Updating the price database and PTS in close collaboration with the finance team. Additionally, the assistant may be assigned other tasks by the manager.

Engagement

  1. Price Database Management:

    • Regularly update the price database and share it with the PROLOG manager for review. 

  2. Ensure the best ratio of price versus quality. 

  3. Supplier Management: 

    • It focuses on selecting reliable suppliers and ensuring timely deliveries.

  4. Vendor Database Maintenance:

    • Keep the vendor database up to date by adding new vendors, updating contact information, and verifying their credentials.

  5. Fleet-Related Tasks:

    • Upload fleet-related expenses to the appropriate ADMIND folder.

  6. Fleet Records Upload:

    • Adhere to the new requirement by uploading fleet records to the ADMIND system. 

  7. Green Office Initiative:

    • Collaborate with the ProLog team to implement green office initiatives. Promote sustainability, waste reduction, and environmentally friendly practices.

Delivery

  • Procurement Reports:

    • Generate and share monthly procurement reports for each project.

  • Procurement Plans:

    • Update and maintain monthly procurement plans for each project. 

  • Asset Movement and Updates:

    • Regularly track and report on asset movement within the organization. Ensure that asset records are accurately updated in the ADMIND system.

  • PTS (Procurement Track Sheet):

    • Keep the PTS up to date on a weekly basis including information on pending orders. 

  • Monthly Price Database:

    • Maintain an updated price database, including supplier information, negotiated prices, and any changes in market rates.

  • Green Initiatives Reporting:

    • Prepare quarterly reports on green initiatives related to procurement and logistics. 

Job Requirements

  • Bachelor’s Degree in Procurement and Supply Management or related field with 1- 2 years of experience. 

    • Strong oral/written communication skills in English and ability to communicate effectively.

    • Strong organizational and interpersonal skills and ability to work in a team-oriented setting.

    • Working knowledge in MS Office applications.

    • Familiarity with automated systems such as any ERP is preferred.

    • Ability to travel and work throughout Ethiopia in difficult terrain/conditions at times.
