Operation Smile is an international Non for profit organization that offers free surgeries to people born with cleft conditions. We envision a world in which health and dignity are improved through safe surgery. Founded in 1982, Operation Smile has had its presence in Ethiopia since 2005 partnering with Jimma University Medical Centre, St Paul Millennium Medical College and Ayder Comprehensive Specialized hospital with the aim of expanding to more hospitals in the future. Operation Smile Ethiopia ( OSE) office is looking for a qualified candidate for the position of Procurement Officer .The position reports to Finance and Operations Manager ,based in Addis Ababa.
Responsible for overall planning and executing the procurement of medicines, medical supplies ,medical equipment and office supplies/equipment done under Operation Smile Ethiopia country office
Lead annual planning and forecasting of all procurement needs under OSE country office.
Closely work with program Manager at Country office and program coordinators based in partner hospitals to do quarterly forecasting and quantification of medicines, medical supplies and equipment needs from each hospital
In closely working with Finance and Operations Manager, prepare bid documents, share with potential suppliers/vendors and lead the procurement process of any medical and non-medical items requested by partner hospitals and OSE program teams as per the OSE procurement policy and procedures.
Handle the proper collection and distribution of procured items to the partner hospitals and final destinations with full required documentations.
Conduct regular semiannual and annual inventory of all items procured and distributed to partner hospitals and maintain the necessary documentations at OSE and partner hospitals.
Closely work with the partner hospitals’ store personnel/pharmacists to ensure the proper storage, safety and usage of all medical supplies and equipment
Support the partner hospitals in installation and maintenance of equipment for Comprehensive Cleft Care at the hospitals.
Execute any other activities assigned by immediate supervisor
Qualifications, Skills and Behaviors
BA degree in in Biomedical Engineering,
from recognized university or college
At least two years of work experience in private or public organizations, NGOs or hospitals in forecasting, quantification of medical supplies and equipment
Experience in procurement of medical supplies and equipment is a plus.
Experience /Knowledge of procurement principles and procedure
Basic knowledge of medical supplies warehouse management
Basic skill of maintenance and installation of equipment is desired.
Excellent communication skill, both writing and speaking in English and Amharic
Basic knowledge and skill of computer including Microsoft offices such as use of words, excel, internet, teams.
Willing to travel to OSE program sites in Ethiopia to support partner hospitals in forecasting of medical supply needs and installation/maintenance of equipment as needed ,
Skill of coordination and team work
Easily coachable and willing to learn
Willing to work extra hours ;with flexibility of working out of regular work hours
