Position: Office Assistant II
Reports to: Director-Hawassa District
Place of Work: Hawassa District Office
The job holder is responsible for providing both clerical and administrative support to performers of the district, ensure the administration and smooth-running of workflow throughout the office; properly handles communications and documentations and the purpose of the Job is to Welcoming customers and visitors to the district, handling incoming calls and other communications, managing filing system and recording information of the district, updating paperwork, maintaining documents and word processing
Greets clients, visitors, and callers, schedules appointments, handle their inquiries, and direct them to the appropriate persons according to their needs.
Maintain polite and professional communication to nurture culture of the bank via phone, e-mail, and mail.
Maintains office filing systems and assists with archiving records.
Receive and handle different incoming and outgoing correspondences.
Receive, sort and distribute mail of the process.
Perform tasks including writing letters and memos, maintaining a daily calendar and task list, and creating and maintaining spreadsheets and databases.
Maintains confidentiality of data.
Devises and maintains office systems.
Manages and maintains petty cash.
Orders and maintains stationery and equipment supplies.
Organizes and stores paperwork, documents and computer-based information.
Photocopy and prints various documents, sometimes on behalf of performers.
Arranges both in-house and external events and
Perform any other tasks as assigned by supervisor
Qualification Requirements
BSc or BA Degree in Administrative Management and Technology Systems, Secretarial Science and office Management or other related field of study.
Diploma in Administrative Management and Technology Systems, Secretarial Science and Office Management and other related field of study. COC certification is mandatory.
5.2. Previous Work Experience
For a BSc. Degree, a minimum of 2 years of experience is required in roles related Office Assistance, preferably within large industries, banks, or similar organizations.
For Diploma, Minimum of 3 years of experience is required in roles related to Office Assistance, preferably within large industries, banks, or similar organizations.
5.3. Required Competencies
Integrity: being honest, transparent, and morally upright in one’s words and actions and being truthful, reliable, and consistent in one’s behavior, and adhering to a strong moral code;
Organizational Skills: Maintain a clean and organized the office and ensure that the neatness of the office;
Time Management: Prioritize tasks and arrive on time and check email outlook and respond enquiries on deadlines;
Proficient Software Skills: Advanced skill in Microsoft office Word, Excel, PowerPoint, and Outlook and familiar with other database management tools;
Administrative Skills: Ability to scheduling and coordinate meetings, appointments, and events;
Communication Skills: Strong communication skill both in written and verbal;
Customer Service Skills: Ability to build strong customer relationship with customer and responding enquiries in professional way;
Adaptability: Learning new software: willingness and ability to quickly learn new tools and technologies as needed.
