Job Description

The Finance and Admin Manager will oversee the functions of the finance and administrative activities and ensuring the efficient management of financial resources and supporting organizational objectives. This role involves handling the preparation of financial statements, budgeting, cost management, and ensuring compliance with regulatory requirements.

Duties & Responsibilities:

  • Lead the annual budgeting process, providing projections and strategic financial analysis to support business goals;

  • Participate in the preparation of monthly budget variance analysis and recommend adjustments based on performance and changes in business needs;

  • Collaborate with department heads to ensure budget adherence and provide insights for cost optimization;

  • Oversee day-to-day financial operations, including accounts payable, receivable, payroll processing and tax compliance activities;

  • Ensure timely and accurate financial reporting, adhering to industry standards and local regulatory requirements;

  • Monitor and manage the company cash flow to support ongoing operational needs and ensure availabilities of adequate funds;

  • Develop and maintain cost sheets for products/services, particularly for import-export operations, ensuring accurate tracking of expenses;

  • Analyze cost structure, including procurement, logistics, and customs duties, to optimize profitability;

  • Ensure compliance with local tax laws, import/export regulations, and financial regulations relevant to the industry;

  • Oversee the preparation and submission of tax returns, VAT, and other statutory filings in a timely manner and liaise with external auditors, tax advisors, and regulatory bodies as required;

  • Oversee administrative functions, including HR, office management, and procurement, to support efficient operations;

  • Implement and maintain organizational policies and procedures, ensuring adherence across all departments;

  • Manage and mentor a team of finance and administrative staff, providing training and development opportunities to maintain work quality;

  • Contribute to strategic decision-making by providing relevant information and recommendations on financial trends, performance, and future opportunities;

  • Support senior management in decision-making by conducting financial feasibility analysis for new projects and investments;

  • Monitor market trends, currency fluctuations, and industry developments to advise on risk management strategies;

Job Requirements

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field. An MBA or professional accounting designation (ACCA) is preferred.

  • Minimum of 5 years of experience in finance and administration, with a focus on the import-export or logistics sector.

  • Proficient in financial software (e.g., QuickBooks, ERP systems, Peachtree) and MS Office Suite, especially Excel.

  • Strong understanding of import-export operations, customs regulations, and currency management.

  • Proven skilled in financial planning and cost management;

  • Excellent analytical, problem-solving, and organizational skills.

  • Ability to work under pressure, prioritize tasks, and manage multiple responsibilities
