Job Description

Under direct supervision of the Senior Finance Manager, the Senior Finance Officer is responsible for the day-to-day Talent Management one (TM1) system review and budget posting, monthly budget forecast review and data entry to the TM1 software, monthly BVA review, producing BVA report from the system. The position holder will be responsible for oversight of recording of financial information to the Budgeting Software. She/he will be responsible for posting the budget to TM1 during proposal stage and cost modification period.

Create Project Proposals:
Develop and create new proposals for upcoming projects through the Opportunity and Proposal Setup Application, ensuring that all necessary information is accurately captured and structured for review and approval.
Review Project and Amendment Structures:
Assess and review the designed project structure, including any amendments, to ensure compatibility with the Costpoint system.
Collaborate with the Split Finance team to align the project set up with financial and accounting requirements.
Budget Posting in Time Management one software:
Post the approved budget proposals into Time Management one software and ensure that the project structure and any amendments are properly reconciled with the established budget ceiling.
Verify that the budget data aligns with organizational financial controls.
Monthly Budget Forecast Management:
Ensure that budget holders upload their monthly budget forecasts into Time Management one software in a timely manner.
Review the submitted forecasts for accuracy and completeness before submitting them to the Split Finance team for further processing and approval.
Preparation of Shared Support Cost Forecasts:
Take responsibility for preparing the budget forecasts for shared support costs in Time Management one software.
Ensure that these costs are allocated fairly and proportionately across the various projects within the organization.
Monthly Budget vs. Actuals Reporting:
Generate and distribute monthly reports comparing the approved budget to actual expenditures, using Time Management one software data.
Ensure that these reports are accurate, clear, and presented in a format that is easy to understand for management and relevant stakeholders.
Amended Budget Approval and Posting:
Track and follow up on the approval process for amended budgets, including cost modifications.
Once budget amendment is approved, post the updated budget in Time Management one software and ensure it is made available for use in a timely manner to support ongoing project work.
Budget Status Reporting to Senior Management:
Provide regular updates on the status of project budgets, forecasts, and variances in Time Management one software to senior management, including the Finance Director, Senior Finance Manager, Sector Managers, and other senior staff. This includes highlighting any issues or concerns related to budget performance.
Mentorship and Training:
Assist in mentoring, coaching, and training new team members and recently hired program staff on the use of Time Management one software. Provide guidance on best practices for managing sector budgets, ensuring staff are equipped with the knowledge and tools necessary for effective financial oversight.
Additional Duties:
Perform other duties as assigned by your line manager. This may include special projects, process improvements, or other tasks that contribute to the smooth operation of the finance team and overall organizational goals.
Each of these responsibilities ensures effective financial management, supporting project budgeting, forecasting, and reporting processes across the organization.
MINIMUM REQUIREMENTS
Bachelor’s degree in finance & accounting, Economics, or relevant field.
Minimum 6 years’ experience directly related to financial management or accountancy, preferably with an international organization (NGO)
Active knowledge of English language writing and speaking
Proficiency in financial accounting software, like CostPoint, Limelight, IBM Cognos software & MS Excel and MS Word as well as good grasp on Internet and email communication.
Ability to work independently and under tight deadlines.
