Job Description

JSI is a US-based public health nonprofit organization dedicated to providing high-quality technical and managerial assistance programs throughout the world. In Ethiopia, JSI has been working to improve health outcomes for more than 25 years, implementing more than 60 projects and working in every region. JSI has historically managed a large portfolio of projects focusing on the quality, and equity in access of, RMNCAH services, primary health care (PHC) including community health program, digital health, health information systems (HIS), supply chain management, public health emergency responses, and social and behavior change. 

Position Summary

Under the guidance and close supervision of the Grant, Finance and Admin Manager, the Operations Officer will provide administrative and logistics support for the Country Office. S/he will assist the smooth operation of the JSI Country Office in the areas of, transportation management, travel arrangement, property management, procurement, and warehouse management. 

Duties & Responsibilities:

  • Responsible for keeping an office running smoothly and overseeing administrative support.

  • Facilitate domestic and international travel arrangements for the Country Office, visa processing, ticket bookings, vehicle rentals, and hotel booking. 

  • Support international staff travelling to Ethiopia, visa process, hotel booking, transportation service, and arrange safety and security briefing. 

  • Provide administrative support for meetings, training/workshops, venue booking, manage invitation letters and facilitate per diem payment. 

  • Ensure the procurement of goods and services as per the procurement plan and in line with JSI and donor rules and regulations.

  • Support the distribution of program supplies and equipment and maintain complete documentation, issue voucher and model 19.

  • Regularly check balance of office stationary and supplies and replenish materials in a timely manner.

  • Acknowledge the receipt of goods by the issuance of GRN, issue SIV for distributions from the store and update the bin card.

  • Prepares monthly stock report on the status of the stock movement of Country Office.

  • Ensure that all fixed assets are properly tagged and update the fixed asset register regularly. 

  • Maintain appointment calendars and make logistical arrangements for staff.

  • Attend staff meetings, take minutes and communicate required follow-up actions with responsible staff members.

  • Assisting in maintaining and repairing of office equipment services.

  • Establish a filing system for administration and program documents.

  • Support fleet management system, ensure proper functionality of vehicles, annual inspection, insurance renewal, review and approve log sheets and supervise and support drivers.

  • Ensure that vehicle accidents and insurance claims are properly handled; insurance benefits are properly negotiated to the benefits of JSI.

  • Produce detailed vehicle management reports on a monthly, quarterly, and annual basis to the Grant, Finance and Admin Manager.

  • Provide administrative support to field operations. 

  • Carry out all other duties and responsibilities as required by management.

Job Requirements

  • BA Degree in Management or Business Administration.

  • At least seven years of experience in office administration and management. 

  • Experience in organizing and managing meeting and travel logistics.

  • Experience in managing inventory.

  • Good computer skills (windows, Microsoft Office).

  • Strong communication and interpersonal skills.

  • Must have demonstrable personal integrity and honesty and must have pleasant personality.

  • Must be willing to travel frequently to project activity regions and woredas as needed. 

  • Speaking of more than one local language is a plus.
