Job Description

Main Purpose  Defining, coordinating and monitoring all Warehouse and Stock Management activities in the mission according to MSF protocols, standards and procedures in order to ensure an optimal running of the mission   

Duties & Responsibilities:

  • In collaboration with the Supply Chain Coordinator defining the Warehouse and Stock Management activities and planning the annual budget in order to identify and optimize the response to the needs of the mission and the targeted population.

  • Monitoring the implementation of the Warehouse and Stock Management activities, following up of the medical and logistics stocks, ensuring compliance with MSF standards, protocols and procedures, and reporting to the line manager on the development of the ongoing programmes. This can include the following: 

  • Ensuring all equipment and premises are adapted to the proper storage of goods in compliance with the customer's requirements and Good Distribution Practices

  • Ensuring that physical and administrative management of the products inside the warehouse are properly managed in conjunction with the owners of the stocks (SOPs, flow management, IS warehousing tool, inventories…)

  • Ensuring the safety and the security for goods and people inside and outside the premises under his/her responsibility

  • Analyzing monthly/quarterly warehouse data, identifying problems, and proposing solutions to line manager, owners of stocks and pharmacist

  • In collaboration with the HR Coordinator, participating in the planning and implementation of  HR associated processes (recruitment, training, briefing/debriefing, evaluation, detection of potential, development and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required to correctly perform all supply activities pertaining to his area

  • Ensuring technical support for his area of activity and providing coaching to staff under his/her responsibility. Managing his team and elaborating their activities planning (Warehouse supervisor, storekeepers and log-helpers.)

  • Participating in monthly reports according to guidelines

  • Performing delegated tasks according to his her speciality and as specified in his/her job description

MSF Section/Context Specific Accountabilities

1.WAREHOUSE OPERATION MANAGEMENT

  • Manage and organize the warehouse to ensure optimal; storage, accessibility and security of goods( Log Med)

  • Ensure warehouse management  adhere to MSF standards by, among others, performing       storage condition checklist       for both med and log  and ensure proposed corrections have been attended to

  • Monitor mission stocks level for both med and log and advice on appropriate stocking and replenishment to meet mission demands. Look into monthly consumption figure, expiry dates, excess drugs and possible shortages and advice on the way forward. 

  •  Work closely with warehouse team and LogCo(Dep)Supply to ensure all arising issues are dealt with on time. 

  • Implement and monitor inventory control systems to track incoming and outgoing items

  • Ensure adherence to FeFo and FiFO principle for medical supplies

  • Conduct regular total stock count as per MSF guidelines. i.e every four months

  • Supervise and control the reception, storage and dispatch of goods while maintaining accurate records in software under use-Unifield

  • Organize and oversee timely delivery of supplies to project sites while ensuring proper documentation in Unifield

  • Maintain compliance with MSF regulations/ guidelines regarding storage and transportation of medical goods.

  • Ensure the proper storage of temperature sensitive items( coldchain items) and other temperature specific items

  • Identify and mitigate risks related to storage and warehousing activities

  • Strategically manage warehouse in compliance with MSF’s policies and vision.

  • Communicate with other departments/projects  to ensure products are shipped in a timely manner without and hindrance 

  • Warehouse manager ensue Bonded warehouse meet the established requirement and ensure compliance as advised by relevant authorities

  • The warehouse manager ensures cold chain management meet MSF standards and contingency plan is in place

  • Ensures all warehouse transactions are UF processed

2.SUPERVISORY RESPONSABILITIES

  • Coach, train, supervise and mentor direct-report staff, including communicating clear expectations, setting performance objectives, providing regular and timely positive and constructive performance feedback, and providing documented performance reviews. 

  • Lead, manage and motivate his team to cope with evolving environment.

  • Provide ongoing workplace training to operations staff members.

  • Monitor work performance and offer job performance evaluations.

  • Assist with a variety warehouse duties including receiving, inspecting, weighing,

  • Facilitate and encourage a culture of continuous improvement.

  • Maintain open and professional relations with team members, promoting a strong team spirit and providing oversight and guidance to enable staff to successfully perform in their respective positions. 

  • Oversee equipment and building/facility needs, maintenance and repairs. This includes- forklifts, power jacks, cold storage, etc. 

3.REPORTING & DOCUMENTAION

  • Centralizes monthly stock report, analyses them and recommend the necessary actions

  • Produce reports and statistics regularly (IN/OUT status report, dead stock report  in form of TSR/SMS and LRS

  • Number of Positions:  One 

  • Place of work:    Addis Ababa, Ethiopia 

  • Terms of employment: one Year with the possibility of extension

  • Activity Rate:   100%

  • Remuneration and Benefits:

  • Starting gross salary/month: 82,000 ETB 

  • Transportation allowance: 2,200.00 ETB

  • Medical Coverage:  as per organizational scale

Job Requirements

Education

University degree, desirable warehouse management related studies, procurement, Supply chain or related fields

Experience

  • Essential at least five years of working experience in Medical Warehouse and Supply management 

  • Essential proficiency in inventory management software (MS Excel, ERP system) 

  • Desirable previous experience with MSF Logistics or Supply Department or other NGOs,

Languages                           

Mission language(English) essential; local language desirable

Knowledge

Computer literacy, (for warehouse: mathematics, reporting and analytical skills)
