Duration of Contract: For one year, with possibility of extension

Main Duties and responsibilities

The project/admin assistant is accountable to Infectious disease research Directorate recruited for effective office management and implementation of all projects to accomplish its vision and mission. The project/admin assistant coordinates, communicate and compile report in regular basis from project coordinators in the. 

She will have the following duties and responsibilities: 

  • Compile the report and give feedback to all members.

  • Manage records and files and Update paperwork and databases

  • Create documents, including correspondence and reports

  • Book appointments and Handle travel-related bookings

  • Maintain supplies and order more when inventory is low

  • Process mail and maintain office equipment

  • Greet visitors

  • Document copy of the proposals to track the main terms and conditions for management attention to meet the requirements.

  • Support the annual/biannual/quarterly/monthly plan and report preparation of each project in infectious disease directorate. 

  • Assist the director of Infectious disease directorate in the routine activities

  • Actively participate in other activities of the infectious disease directorate and the Institute.

Job Requirements

Qualification and Key Skills Required

Academic and Professional Experience Qualification

  • With BSc Computer Science, BSc or diploma Information technology, related field and minimum 6 years work experience for BSc and 10 years for Diploma in office management, project management or related activities. 

  • Proven experience as an office manager, project assistant or similar administrative role;

  • Competency in use of computer, Microsoft Office, internet and computer-based management solutions; 

  • Fluency in English, Amharic writing and good command of communication skills;

  • Strong organizational and management skills: the ability to manage and prioritize multiple tasks

  • Self-starter with a passion for keeping things running smoothly

  • Excellent Communication Skills
