Job Purpose
The Logistics Assistant leads and coordinates all logistics activities at the field level. This includes overseeing procurement, transportation, inventory, and warehousing to ensure smooth operations that support program delivery in compliance with organizational and donor regulations.
Procurement
Handle local procurement of goods, services, and works, collaborating with the country office for higher-value procurements.
Draft and update the Procurement Plan in alignment with budgets and donor requirements.
Prepare and issue Requests for Quotations (RFQs) and Requests for Proposals (RFPs), evaluate bids, and ensure suppliers meet quality and delivery standards.
Organize product inspections, maintain supplier communication, and issue Purchase Orders.
Maintain systematic procurement records, track requisitions and purchase orders, and ensure adherence to organizational and donor guidelines.
Build and maintain a database of qualified suppliers
Generate monthly procurement tracking reports
Warehouse & Inventory Management
Supervise warehouse operations, including receiving, storing, picking, and packing goods, ensuring accuracy and efficiency.
Assist in planning and optimizing warehouse locations and layouts.
Supervise inventory management, maintain accurate stock records, and ensure regular updates to program staff.
Promote proper storage practices and adherence to inventory control standards.
Administration
Oversee office lease agreements, utility payments, and other administrative tasks, ensuring smooth operations.
Facilitate recruitment processes, including posting job vacancies, organizing induction programs, and maintaining personnel records.
Monitor staff performance, manage leave records, and ensure timely updates on employment changes to relevant departments.
Provide HR support, including contract renewals, recruitment documentation, and employee guidance on HR policies.
Fleet Management
Manage LWF-owned and rental vehicles, ensuring efficient utilization, maintenance, and adherence to safety and traffic laws.
Oversee fuel usage and vehicle logbooks, ensuring accurate records and compliance with organizational policies.
Coordinate driver assignments, enforce safety policies, and monitor vehicle readiness for operational needs.
Asset Management
Maintain accurate records of fixed assets, ensuring proper use, maintenance, and storage.
Update the asset register in collaboration with the storekeeper, ensuring all assets are accounted for.
Ensure assets are used exclusively for official purposes by authorized personnel.
Qualifications and Experience:
Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
At least 2-3 years of experience in logistics or supply chain operations, preferably in a field-based role.
Proven experience in logistics, procurement, or supply chain management,
Strong knowledge of procurement processes, warehouse management, fleet operations, and asset management.
Proficiency in Microsoft Office, particularly Excel
Excellent organizational, communication, and interpersonal skills.
Ability to work effectively in a team and manage multiple tasks simultaneously.
Strong understanding of donor regulations and compliance requirements is a plus.
