Chemonics International, Inc., is a U.S.-based international development consulting company, operating in over 95 countries, that is implementing the USAID funded Urban Water, Sanitation, and Hygiene Activity (Urban WASH) in Ethiopia.
The purpose of the Urban WASH is to support accelerated access to safe, adequate, inclusive, and resilient WASH services targeting urban and peri-urban areas. While the activities are coordinated from Addis Ababa, Urban WASH has five offices in Adama, Hawassa, Dire Dawa, Mekelle and Kombolcha.
Chemonics seeks to recruit a Senior HR Assistant for Urban WASH. Based in Addis Ababa, a Senior HR Assistant will report to and assist the HR and Admin Manager in managing HR and administrative tasks, following Chemonics' HR procedures. The ideal candidate should have a strong passion for making a positive impact.
Support recruitment efforts for short-term consultants, long-term employees, and interns by tasks such as posting job openings, scheduling interviews, checking references, assisting during interviews, and coordinating with selected candidates to finalize required documentation.
Collaborate with respective departments to organize new staff onboarding and orientation schedules.
Conduct orientation sessions for new employees in collaboration with the HR and Admin Manager
Oversee and follow up on documentation related to probationary and annual assessments in coordination with the HR and Admin Manager.
Maintain personnel, recruitment, and operational files, ensuring their organization and accessibility.
Prepare employee amendments, revised biodatas, and salary justification memos.
Provide employment verification for current and former employees upon request.
Prepare payment requests for the short-term consultant and update payment in the tracker.
Establish and oversee the Urban WASH internship program, including managing stipends.
Manage employee records and maintain both hard and soft HR filing systems.
Update and manage trackers for leave, recruitment, training, and other HR functions within the shared HR drive.
Prepare Time sheets every Month, ensure it is signed, and approved, and archive them in a box file.
Ensure the proper return of organizational property, such as ID cards, during employee terminations.
Adhere to Chemonics’ policies, local labor laws, and USAID regulations across all HR processes.
Oversee employee pension matters, including registrations, updates, and distribution of pension cards
Administrative Tasks:
Handle medical insurance claims by verifying submitted medical documents, maintaining a tracker, and forwarding them to finance.
Manage outgoing and income letter
Manage office petty cash
Procure kitchen consumable items on time.
Coordinate office facility maintenance and liaise with the building manager.
Ensure office safety and security, including key management.
Performs other duties as assigned.
Act as the first point of contact for office visitors, welcoming guests and directing them appropriately.
Assist with photocopying, document filing, and scanning.
Serve as an alternate phone operator to handle and direct calls.
Supervise the office cleaner.
Perform other duties as assigned.
Qualifications:
At least three (3) years of relevant experience.
Bachelor’s degree in human resources management or a related field.
Strong desire to build a career in HR and the ability to perform well under high-pressure situations.
Proficiency in Microsoft Word, Excel, PowerPoint, and Access.
Knowledge of data collection, analysis, and reporting.
Excellent research, organizational, record-keeping, and presentation skills.
Strong communication skills.
Fluency in English.
