Job Description
The Program Coordinator is accountable for overseeing and managing the project at the zonal level, providing operational and technical support to program officers, supervisors, ASR and ALP facilitators. They collaborate with the Program Manager to contribute to program strategy, external representation, and coordination with project partners. The primary objective of this role is to coordinate the implementation of the Education in Emergencies (EiE) project, ensuring the timely and high-quality execution of all planned activities within the allocated budget. The Program Coordinator will oversee program activities, ensuring the effectiveness, efficiency, and quality of work conducted by I1D. They will facilitate coordination with partners, conduct field visits, and make necessary adjustments in consultation with the program manager. Close collaboration with local partners is also a key aspect of this role.

Functional Relationships: Regional CP/GBV Specialist
1. Work for Overall organizational development
Comply with Imagine 1 Day policies and practices with respect to Safeguarding, code of conduct, health and safety, equal opportunities and other relevant policies and procedures.
Be innovative in practicing organizational policies, rules and guidelines in order to achieve the intended Imagine 1 Day’s vision, goal, and mission.
Organize experiences that can help as basis for project proposals in education sector
Take appropriate, coordinated, and consistent actions to handle situations of personal risks and risks for others.
2. Project Implementation
Work with men, women, boys and girls, community members and other duty bearers to ensure they are actively engaged to protect women and children from protection risks.
Oversee case management (including follow up on referrals and action plans) and support services provided to children and GBV survivors.
Initiate planning for longer-term GBV and CP violations prevention and response activities, including referral pathway and standard operating procedures.
Maintain, monitor and measure project implementation and contribute to effective information management on project activities.
Closely work with the Child Protection/GBV Specialist
Ensure that staff implement and respect best-practice and international standards in prevention and response to GBV and child rights violations.
Participate in the design of project activities, monitoring systems and capacity building activities for partners, community members and children.
Ensure systematic means by which child protection and GBV protection concerns can be identified (including unaccompanied and separated children), assessed and have their details documented through a data base.
Submit quality reports as scheduled including but not limited to weekly, monthly, quarterly and annual reports.
Document project success stories on a monthly basis for sharing with the support office and donors during the monthly update meetings.
Support the project staff so that they comply with all relevant Imagine 1 Day policies and procedures regarding child protection and child safeguarding for the maximum protection of children.
Implement the project interventions and apply the knowledge in a way to Do Not Harm
Ensure that activities are appropriately planned and that delays and constraints are documented
3. Capacity development:
Conduct and lead CP and GBV related technical training to caseworkers, woreda stakeholders, community leader.
Provide supervision to community volunteers, social workers and community mobilizers.
Ensure monthly work plans are developed and reviewed regularly.
Hold regular meetings with staff to plan and address any concerns and share feedback.
Organize for internal peer to peer capacity building forums on GBV
4. Partnership Development:
Maintain and strengthen existing networks through other service providers at local level, to ensure that children and survivors receive quality services and support both at the agency levels.
Coordinate with other CSOs, local and International NGOs, local women and youth groups and woreda and Zonal stakeholders in all actions relating to improved quality of CP/GBV programming.
Represent Imagine 1 Day in all interagency level meetings and workshops on CP/GBV
Strengthen existing referral systems and identify new networks to work with to ensure holistic support to the clients.
Coordinate and working closely with the zonal and wereda women and children affairs Office to plan and implement protection activities.
Promote for the goodwill of Imagine 1Day guided by our core values, culture and leadership
Engage and take responsibility of mobilizing concerned participants for project joint monitoring and evaluation as per of the implementation plan
Participate in safety audit programs, and do for further quality project implementation as per of the feedbacks
Participate in different project related consultative workshops and review meetings.
Invests time and energy to actively develop self and others to help realize their full potential, and to build the organization’s capability for the future.
Act as primary focal point for the partner, ensuring that all partner activities are supported, implemented and monitored effectively to achieve the project goals
Facilitate regular meetings with the implementing partner to ensure all activities are well planned and coordinated
5. Financial and Supply management
Ensure timely implementation of budgeted activities in addition to budget tracking and control.
Plan and follow up the distribution of NFIs and cash transfer in line with selection criteria.
Coordinate with Logistics to ensure timely and safe delivery of supplies allocated to field activities.
6. Participate in Human Resource Management Activities
Participate in recruiting of social workers, community volunteers and facilitators
Assure the implementation of Imagine 1Day’s policy and work discipline of every staff that comprises child safe guarding and child protection code of conduct policy, harassment policy, PSEA policy, criminal background check policy, crises management and incidence procedure policy, and others
Provide leadership and support to ensure staff well-being,
Organize for internal peer to peer capacity building forums on CP/GBV
Create a good team spirit, with appropriate provision for having successor.
7. Monitoring and Evaluation
Monitoring the project interventions on regular basis and find out the gaps sharing the gaps with the staff and make a proper action plan.
Ensure that project is on track in sense of indicators and immediate outcomes.
Identify best practices and needs of development, and find out a corrective measure for better improvement on the gaps
Assist in preparing daily, monthly, quarterly and annual reports, progress notes, and activity plans on time.
Use appropriate data collection tools and submit assessments and reports in a timely and accurate manner to the MEAL team
Assist in the designing, planning, implementing and facilitating of external trainings for numerous target groups.
Support in conducting assessment and analysis of camp and host community dynamics and in recommending how the project can position itself to better serve the interests of the community.
Support the MEL staff to develop project monitoring and evaluation tools and assist in mid-term and end of project evaluations.
Ensure safe and proper documentation and storage/filling of all CP/GBV related program materials.
Monitor work plan and its effectiveness and efficient implementation.
Support document success/human interest stories in collaboration with the communication team.
Conduct comprehensive report and documentation of lessons learnt and best practices to achieve project goals and activities
Assist with any other related activities as deemed necessary by the supervisor.
8. Reporting and communication
Report project baseline and end line assessment results based on the donors and partner’s requirements.
Report 5Wmatrix, weekly situational reports, narrative reports on monthly, quarterly, biannual and annual basis as per donors and partner’s requirements.
Analyze implementation challenges and report any inconsistencies and/or gaps to inform adjustments to plans and implementation schedules.
Monitor and report on results of capacity building efforts.
Degree in Social work /Social sciences or equivalent
Minimum three years’ work experience in child protection, GBV, MHPSS or social work with a demonstrated focus on GBV program design and implementation.
Knowledge of community-based child protection approaches, preferably including experience in working with IDPs and affected population.
Basic familiarity with MS application packages (Word, Excel and database software)
Good communication skills with fluency in written and spoken English, local language as a plus.
Demonstrated experience and knowledge in child participation and GBV minimum standards.
Experience to lead projects on emergency and development settings
Experience in reporting to donors in an NGO environment
Excellent computer knowledge of MS-Word, MS-excel, PowerPoint, etc.
Excellent communication skill in Local Language and English
