Job Description

The Import Officer will be responsible for coordinating the logistics related to the foreign procurement process such as; ensuring the insurance premium payment, preparing, and handing over L/C and CAD bank documents, collecting shipping documents and submitting to clearing agents, facilitating ESL booking and handling insurance claim.

Main Responsibilities

  • Implementing best practices to enhance and foster the foreign purchase process, by reducing the time required for applying, processing import applications, and communicating to supplier’s CAD, LC and TT documents in time.

  • Closely working with SCM and finance units and settle financial outstanding claims of Insurance Logistics and other dues.

  • Closely work with Banks, Insurance, Customs, Shipping Lines regulatory bodies and address pending issues in time.

  • Prepare insurance request form, apply to the insurance company, and settle insurance in a short period of time.

  • Prepare L/C, CAD, TT application letter and permits and apply and follow up the status with the bank and on single window interface and handover approved documents to SCM to communicate to the supplier.

  • Arrange booking with Ethiopian Shipping Line whenever required.

  • Collect shipping documents from the bank and prepare the needful handover format and submit it to the clearing agent.

  • Work with clearing agents and follow up on the status of shipments and inform the SCM, the stores, whenever needed the Quality Assurance department (for inspection purposes) of expected delivery dates. 

  • Fill insurance claims when damaged goods are observed during the offloading of the imported goods and ensure that claims are collected within a few weeks.

  • Arranging transport and offloading equipment whenever necessary.

  • Follow up on deposits made to ESL and ensure that all deposits are reimbursed to avoid being registered on the delinquent lists from National bank.

  • Handle compliance cases to customs regulations in case they arise.

  • Work with internal and external stakeholders to determine procurement needs, quality, and delivery requirements.

  • Collect Proforma Invoices for transport and services when necessary and eventually goods when the activity may require it.

  • Follow up payment with finance according to mode of payment mentioned on PO. 

  • Documentation of GIT and performing cost build up and maintain agent ratio cost calculation template.

  • Processing company items bid under the supervision of the supply chain manager.

  • Support Farm procurement for processing Procurement Request (PR) into the company’s ERP system.

  • Filing of documents inside in physical to respect strictly the instructions for the procurement manual.

Job Requirements

Education:

  • BA Degree in Logistics and Supplies Management or related fields. 

Experience:

  • 4 Years of Work Experience in Logistic, Supplies or Accounting role or related activities.
