Our Company QuaLabels Manufacturers Private Limited Company seeks to hire competent, experienced & aspiring applicant to fill the following vacant position.

Job Title:  Personal Assistant to the CEO

Reports to:   The CEO 

Employment Type: Permanent with 60 working days of probation period.

Required No. of vacant post:-  1(One)

Place of Work/Location: Addis Ababa 

Job Summary

The Personal Assistant to the CEO plays a crucial role in providing high-level executive, administrative, and strategic support to the CEO. This position is responsible for managing schedules, organizing calendars, coordinating communications, and serving as the primary point of contact between the CEO and internal/external stakeholders.

It needs to demonstrate exceptional organizational skills, proactive problem-solving abilities, and the capacity to handle confidential information with the utmost discretion. Success in this role requires strong attention to detail, adaptability, and the ability to anticipate the CEO’s needs while maintaining a high level of professionalism.

Duties and Responsibilities 

  • Work with the CEO to prioritize an agenda and focus on the most important issues and opportunities.

  • Manage the CEO's time and calendar by exercising discretion and decision-making.

  • Sorting and filtering requests for the Executive's time while ensuring strategic priorities are met in a timely manner.

  • assisting in fixing appointments with different partners and government offices

  • Ensuring proper and organized filing system of all incoming and outgoing mails and documents. 

  • Keep the CEO on schedule by providing prompts.

  • Attend key meetings with the CEO with the purpose of ensuring follow-up and execution on identified next steps.

  • Responding to routine questions and requests and refers higher-level managerial requests to the Executives and/or Directors as appropriate.

  • Work with the CEO on meeting planning, preparation and coordination, including logistics, materials, etc. 

  • Make the necessary travel arrangement and hotel reservations when the need arises.

  • Performs other job related duties as required by the immediate boss.

Deadline: Seven working days from the date of vacancy announcement

Salary: Negotiable & Attractive

Job Requirements

QUALIFICATION AND REQUIRED SKILLS:

  • Minimum BA Degree in Secretarial Science, Office/Business management, English language or other relevant fields.

  • 5 years of experience in related areas and roles of which two years must be directly assisting Executive level management. 

  • Proven executive support experience.

  • High degree of professionalism in dealing with diverse groups of people, including, board members, senior executives, office staff. 

  • Ability to make appropriate and informed decisions regarding priorities and available time.

  • Ability to react with appropriate levels of urgency to situations and events that require quick response or improvement.

  • Able to maintain a high level of integrity and discretion in handling confidential information.

  • Excellent interpersonal communication and language skills including ability to correspond in English.

  •  Applicants should have very good computer skills; excellent in Microsoft excel/word, Power Point, Microsoft Outlook and Internet; 

  • Have to be a self-starter, energetic, able to work under stressful conditions.
