Job Description
The Senior Logistics Officer at East African National Distribution SC a subsidiary of East African Holding is responsible for managing day-to-day logistics operations, ensuring the efficient movement of goods, inventory management, and the timely distribution of cement from warehouse (satellite warehouse) to customers. The role supports the Logistics Manager in implementing strategies that optimize processes, ensuring smooth coordination with various teams to meet operational goals. Additionally, the Senior Logistics Officer plays a vital role in enhancing performance, maintaining compliance with regulations, and improving overall supply chain efficiency, including cement dispatch operations and customer balance reconciliation.
1.Logistics Operations Management:
Oversee logistics activities, including transportation, warehousing, and cement dispatch, ensuring timely and cost-effective delivery to clients and distributors.
Coordinate with suppliers, carriers, and internal teams to manage both inbound and outbound shipments, focusing on cement order processing.
Ensure accurate documentation and reconciliation of dispatch records, particularly during the weighbridge reconciliation process, to ensure no discrepancies between actual cement weight and dispatch data.
2. Inventory and Stock Management:
Monitor cement stock levels to ensure availability while minimizing excess stock.
Reconcile physical stock with system records, investigating any variances that arise in daily inventory checks and during dispatch operations.
Manage cement dispatch schedules based on available inventory and customer orders, ensuring compliance with customer needs and timelines.
3. Transportation and Logistics Coordination:
Oversee transportation schedules, including route optimization for cement deliveries to ensure efficiency and reduce costs.
Work closely with third-party logistics providers and internal drivers to ensure seamless and timely dispatch.
Ensure trucks are loaded within legal weight limits and that all safety regulations are followed during loading and unloading.
4. Customer Service & Documentation:
Maintain strong communication with customers regarding delivery schedules, address any delays, and ensure timely delivery of cement.
Prepare and ensure the accuracy of documentation including Delivery Notes (DN), invoices, weighbridge receipts, and goods receipt confirmations.
Address customer complaints related to dispatch, ensuring resolution to uphold service quality.
5. Customer Balance Reconciliation:
Reconcile customer account balances, ensuring that any discrepancies between orders, deliveries, and payments are promptly addressed.
Coordinate with the Finance team to ensure that outstanding balances and payment issues are resolved efficiently.
Monitor customer credit terms and work closely with the Accounts Receivable team to ensure that credit limits are adhered to and balances are cleared in a timely manner.
6. Compliance and Risk Management:
Ensure all logistics operations comply with safety, regulatory, and environmental standards, particularly those related to cement handling and transportation.
Implement risk management strategies to mitigate disruptions in cement dispatch and supply chain operations.
Regularly audit logistics activities to ensure compliance with internal and external regulatory audits.
7. Team Leadership and Development:
Supervise, mentor, and train junior logistics staff, including dispatch coordinators and inventory clerks, to enhance skills and performance.
Foster a collaborative environment that encourages teamwork, continuous improvement, and high performance across logistics and dispatch operations.
8. Reporting and Performance Monitoring:
Generate daily, weekly, and monthly reports on logistics performance, including delivery schedules, stock accuracy, and dispatch operations.
Analyze performance data to ensure on-time deliveries and alignment with sales targets.
Provide insights and recommendations to improve logistics efficiency, particularly in cement dispatch and inventory management
4A. Education:
Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
Professional certification in logistics or supply chain management is an advantage.
4B. Experience:
A minimum of 5 years of experience in logistics, supply chain management, or a related field.
Proven experience in managing day-to-day logistics operations, including transportation, warehousing, and inventory management.
Experience in supervising and mentoring logistics teams.
