Job Description
The goal is to aid high-level executives within a company and is often trusted with complex duties and sensitive information. In addition to general administrative work, Executive Assistants may oversee scheduling meetings, taking minutes during sessions, maintaining databases, and producing reports or presentations for their executive leadership.
Provide comprehensive administrative support, including managing correspondence like email, letters, reports, preparing presentations, handling phone calls, and maintaining organized files including both physical and electronic.
Manage complex and ever-changing executive calendars, including scheduling meetings, appointments, and travel arrangements, both domestic and international. Proactively anticipate potential scheduling conflicts and propose solutions.
Arrange detailed travel itineraries, including flights, accommodation, transportation, and visa processing. Ensure seamless and cost-effective travel arrangements.
Organize and coordinate meetings, including preparing agendas, distributing meeting materials, recording minutes, and following up on action items.
Act as a primary point of contact for the executives, screening calls and visitors, and managing communication with internal and external stakeholders, including high-level guests and clients.
Handle highly sensitive and confidential information with utmost discretion and professionalism.
Manage small to medium-sized projects as assigned, including planning, execution, and follow-up.
Maintain accurate and organized records, both physical and digital. Ensure easy retrieval of information.
Assist with the planning and coordination of company events, conferences, and meetings.
Build and maintain strong working relationships with internal and external stakeholders.
Perform other related duties as assigned by the executive(s). This may include tasks specific to the winery environment.
Education:
BA Degree in office management and secretarial science or management or Information technology or related fields.
Experience:
Minimum of six (6) years of experience as an Executive Assistant, preferably supporting C-level executives.
