Job Description

The Senior Project Coordinator is responsible for providing advanced support to the project management team by facilitating communication, coordinating project activities, and ensuring that all aspects of the project are executed efficiently. This senior role involves managing project documentation, tracking progress, and assisting with administrative tasks to help ensure that construction projects are completed on time, within budget, and to the required quality standards. The Senior Project Coordinator will also lead a team of junior coordinators, mentor staff, and contribute to strategic planning and decision-making processes to optimize project outcomes and improve operational efficiency. This position requires a high level of expertise, leadership skills, and the ability to handle complex and multifaceted projects.

Main Duties and Responsibilities

Project Administration:

  • Oversee the preparation and management of project documentation, including contracts, change orders, and project plans.

  • Ensure accurate and organized records of project activities, correspondence, and reports are maintained by the project coordinators.

  • Review and approve project reports, meeting minutes, and other documentation prepared by the project coordinators.

Coordination and Communication:

  • Facilitate effective communication between project teams, subcontractors, clients, and other stakeholders.

  • Supervise and coordinate project activities, schedules, and resources to ensure smooth project execution.

  • Address and resolve any issues or concerns raised by team members, stakeholders, or project coordinators.

Scheduling and Tracking:

  • Develop and maintain project schedules, including timelines, milestones, and deadlines, with the support of project coordinators.

  • Monitor project progress and update schedules as needed to reflect changes or delays.

  • Analyze and report on project performance, identifying any deviations from plans and recommending corrective actions.

Resource Management:

  • Coordinate with procurement and logistics teams to ensure timely delivery of materials and equipment.

  • Oversee the management and allocation of project resources, including labor, materials, and equipment.

  • Track resource utilization and availability, ensuring that project needs are met and supporting project coordinators in their tasks.

Budget and Cost Control:

  • Manage and track project expenditures, ensuring accurate budget records.

  • Monitor and report on project costs, identifying any variances or budget overruns.

  • Support the project management team in cost control and financial management activities, providing guidance to project coordinators.

Documentation and Reporting:

  • Maintain and update project documentation, including contracts, plans, specifications, and reports.

  • Prepare and distribute regular progress reports, status updates, and other project-related documentation with the assistance of project coordinators.

  • Ensure that all documentation is complete, accurate, and accessible for review and auditing purposes.

Quality Control and Compliance:

  • Ensure that project activities adhere to quality standards and regulatory requirements.

  • Support and supervise quality control efforts by conducting inspections and audits as required.

  • Implement and maintain compliance procedures to ensure adherence to project specifications and industry standards.

Problem-Solving and Support:

  • Identify and address project issues or challenges, providing guidance to project coordinators.

  • Develop and implement solutions to resolve problems and improve project performance.

  • Collaborate with team members to facilitate problem-solving and decision-making processes.

Health and Safety:

  • Support the implementation of health and safety policies and procedures on construction sites.

  • Ensure that safety standards are followed and that any safety issues are addressed promptly.

  • Participate in safety meetings and training sessions as required.

Continuous Improvement:

  • Contribute to the evaluation and improvement of project management processes and procedures.

  • Implement best practices and innovative approaches to enhance project coordination and efficiency.

  • Encourage a culture of continuous improvement within the project team.

Job Requirements

Qualification and Skills

  • Bsc  Degree or MSC Degree in  Civil Engineering, Construction Technology and Management, or a related field; Master’s degree preferred.

  • Professional certifications in Construction Coordination and Management are preferred

Experience:  

  • Minimum of 10 years of Total experience in Civil Engineering within the construction industry, out of these 4 years of experience in the position of senior project coordinator. (For Bsc. Degree)

  • Minimum of 8 years of Total experience in Civil Engineering within the construction industry, out of this 4 years of experience in the position of senior project coordinator. (For Msc. Degree)

Skills:

  • Strong organizational and multitasking abilities.

  • Excellent communication and interpersonal skills.

  • Proficiency in project management software and tools.

  • Ability to manage project documentation and reporting with attention to detail

  • Problem-solving skills and the ability to work collaboratively with team members.
