Job Description

SWISS DIAGNOSTICS ETHIOPIA S.C seeking a proactive and highly organized Office Assistant to support the CEO in daily administrative and operational tasks.

Department: Executive Office

Report to: CEO

Required No: 1

Type of Employment: Permanent

Salary: Attractive

Duties and Responsibilites:

  • Provide administrative and secretarial support to CEO.

  • Draft, edit, and transcribe correspondence, reports, meeting minutes, and other documents with high accuracy.

  • Manage schedules, appointments, and meetings, ensuring optimal time management for CEO.

  • Sort and prioritize incoming and outgoing mail, ensuring timely communication.

  • Handle confidential information and maintain organized records and files.

  • Receive and screen visitors, clarify inquiries, and schedule appointments.

  • Prepare meeting agendas, gather necessary materials, and take accurate meeting minutes.

  • Answer and direct phone calls, take messages, and ensure smooth communication flow.

  • Ensure the cleanliness and organization of the CEO's office.

  • Perform additional administrative duties as assigned to support efficient office operations

Job Requirements:

  • Education: Bachelor’s degree or Diploma in Business Administration, Office Management, or a related field.

  • Experience: 2 years of experience in an administrative or executive assistant role.

Required Skills:

  • Fluent in English and at least two local languages.

  • Strong organizational, communication, and multitasking skills.

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
