The Office Administrator ensures the smooth and efficient operation of the office by managing daily administrative tasks, coordinating office operations, and providing support to staff and management. This role is critical in maintaining organizational efficiency, handling government permits, managing office logistics, and supporting HR/Finance teams.

Key Impact Areas:

  • Government permits & compliance (visas, licenses, insurance).

  • Office logistics (supplies, maintenance, events).

  • Executive support (scheduling, travel, vendor management).

Tasks and Responsibilities 

  • Handle overall office administrative matters such as purchasing of office supplies, drop off office documents to various government offices and other key institutions in Ethiopia that needs to be exchanged in hard copies 

  • Support with efficient, and reliable services for all government related permits/ requirements such as employment permits, entry visas, medical examinations, miscellaneous jobs related to immigration, and business licenses/permits to the company. 

  • Coordinate and assist with the collection, delivery, banking, and organization of financial documents, cheques, and correspondence, including transactions with banks and government office 

  • Responsible for organizing, maintaining, and renewing different insurance policies – motor vehicle, asset, etc. 

  • Schedule appointments and meetings for executives and upper-level staff and follow up on local and international travel arrangements 

  •  Schedule and coordinate all transport requirements for the office liaising with the drivers & taxi company 

  •  Arrange hotel & dinner reservations for Krones visitors, including sales events and entertainment 

  •  Organize and facilitate office events, including team-building activities, meetings, and company celebrations 

  •  Liaise with vendors, suppliers, and service providers to manage contracts and office needs 

  •  Liaise with landlord on rental and other related premises topics 

  • Oversee office maintenance, repairs, and renovations, procurement of office items, equipment, and other necessary supplies 

  • Supervise cleaners, drivers, office security & any other external third party 

  • Work closely with HR and Finance teams to support administrative tasks related to finance and HR 

  • Provide Ad hoc administrative support when requested by line manager

Job Requirements

Education & Experience:

  • Bachelor’s degree in Business Administration or related field.

  • 1–2 years in office administration or similar role.

Skills & Competencies:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Fluent in English & Amharic (written/spoken).

  • Strong organizational, multitasking, and problem-solving skills.

  • Proactive attitude with attention to detail.
