Job Description
On behalf of our client we are seeking a highly professional, proactive, and organized Executive Secretary to support our senior management team.
Provide high-level administrative support to the management team, including scheduling meetings, organizing calendars, and handling correspondence.
Manage and prioritize the daily workflow, ensuring deadlines are met and important tasks are promptly addressed.
Prepare and edit reports, presentations, and documents for management review.
Act as a point of contact for internal and external communication, maintaining professionalism and discretion in all interactions.
Coordinate travel arrangements, accommodations, and other logistics for management as required.
Handle confidential information with integrity and professionalism.
Assist with the preparation and execution of meetings, including preparing agendas, taking meeting minutes, and following up on action items.
Organize and maintain office files, ensuring easy access to documents and information when needed.
Manage office supplies and liaise with vendors to maintain a well-functioning office environment.
Provide support in various other administrative tasks as requested by managers.
Qualifications & Skills:
Proven experience as an Executive Secretary or in a similar administrative role.
Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
Excellent communication skills (both written and verbal), with a professional and approachable demeanor.
Proficiency in office software, including MS Office Suite (Word, Excel, PowerPoint) and email management tools.
Ability to handle sensitive and confidential information with discretion.
Proactive, energetic, and highly motivated to take initiative and work independently.
Strong attention to detail and problem-solving abilities.
Ability to work efficiently in a fast-paced environment and manage a heavy workload.
Previous experience supporting senior management or executives is a plus.
