Job Description

We are seeking a dynamic and detail-oriented Project Manager & Receptionist to join our team. This unique role combines project management responsibilities with front-office reception duties. The ideal candidate will have exceptional organizational skills, the ability to juggle multiple tasks, and a strong customer service orientation. You will be the first point of contact for visitors while also taking charge of various projects to ensure they are executed efficiently and effectively.

Duties and Responsibilities:

Project Management Responsibilities:

  • Project Planning: Assist in the development and maintenance of comprehensive project plans, timelines, and budgets.

  • Team Coordination: Collaborate with cross-functional teams to assign tasks, track progress, and ensure timely completion of project milestones.

  • Communication: Act as a liaison between project stakeholders and team members, providing updates on project status and coordinating feedback.

  • Risk Assessment: Identify potential project risks or issues and develop strategies to address them proactively.

  • Documentation: Maintain accurate project documentation, including reports, meeting minutes, and deliverable reviews.

  • Front Desk Management: Greet and assist visitors in a friendly and professional manner; manage phone calls, directing them to the appropriate staff.

  • Scheduling: Handle appointment scheduling for team members and manage meeting room logistics.

  • Mail and Deliveries: Manage incoming and outgoing mail and packages efficiently.

  • Office Supplies: Monitor and order office supplies, ensuring the front office is well-stocked and organized.

  • General Administrative Support: Provide support to various teams as needed, including filing, data entry, and other administrative tasks.

Job Requirements:

  • Education: Bachelor’s degree in Project Management, Business Administration, or related field preferred.

  • Expereince: Minimum of 1 years of experience in project management and/or administrative support.

  • Strong organizational and multitasking abilities with a keen attention to detail.

  • Excellent verbal and written communication skills.

  • Proficient in Microsoft Office Suite and experience with project management software.

  • Ability to work independently and as part of a team, maintaining a positive and friendly demeanor.

  • Familiarity with office equipment (e.g., copier, fax machine) and basic IT troubleshooting skills preferred.
