Job Description

Perform letter writings that will be given by the General Manger, arrange meetings whenever ordered by her superior, takes minutes of meetings that will be held by the General Manager, manager different document, letters and files in an organized manner, to receive and properly and politely answered telephone, calls, faxes messages etc, arrange appointment to the General manager etc.   

Duties and Responsibilities

  1. Performs letter writings and minutes clearly with the possible maximum speed. 

  2. Received letters and different messages, properly sort them and present to the General Manager. Based on the instruction given prepares the necessary written reply. 

  3. Prepare drafts letters to be faxed and process after it is approved by the General Manager.

  4. Distribute incoming faxes to the concerned bodies. 

  5.  Handle telephone calls and arrange priorities based on their importance and urgencies, connect the calls to the General Manger with consultation in advance. 

  6. Arrange customer’s presentation to the General Manager by taking into consideration the work load of the General Manager and the importance of the matter. 

  7. Register internal and external customers those need to discuss with the General Manager based on their turn and importance of the matter.  

  8. Follow up the matters that need the decision of the Manager and remind the concerned bodies for the appropriate and timely action of the letters directed to them.

  9. Handle secret and impotent files and document with the maximum care. 

  10. Prepare letter that has been ordered by the General Manager only with the appropriate diligence. 

Job Requirements

  • Diploma in SSOM with more than 2 years work experience in Secretary
