Job Description

East African Trading House (EATH) is a dynamic and ambitious company with a clear vision to become the leading trading and distribution company in East Africa by 2035. Underpinned by a robust strategic roadmap focused on market expansion, revenue diversification, and operational efficiency, EATH is embarking on a transformative journey to achieve its goals. A critical component of this transformation is the strategic implementation of an Odoo Enterprise Resource Planning (ERP) system to streamline operations, enhance decision-making, and drive future growth. A local Odoo implementor has been selected to partner with us in this endeavor.

We are seeking a highly skilled and motivated ERP and Application Manager to lead and oversee the implementation, maintenance, and optimization of our Odoo ERP system and other key business applications. This is a pivotal role that will act as the focal person for all ERP-related activities and directly contribute to the success of our strategic objectives and the achievement of Vision 2035. The ideal candidate will possess a strong technical background, excellent project management skills, and a deep understanding of business processes within a trading and distribution environment (preferably). You will work closely with a local Odoo implementor and internal stakeholders under the head of IT Unit to ensure the successful adoption and continuous improvement of our technology landscape. The role will also ensure adherence to the implementation and timelines outlined in the EATH Strategic Roadmap and the ERP Implementation Roadmap.   

Key Responsibilities:

  • ERP Implementation Management: 

    • Collaborate with the local Odoo implementor to manage all phases of the ERP implementation project, ensuring adherence to timelines, budget, and scope as outlined in the ERP Implementation Roadmap.

    • Act as the primary point of contact between EATH and the implementation partner.

    • Oversee requirements gathering, system configuration, testing, data migration, and user training.

    • Identify and mitigate potential risks and issues during the implementation process.

  • System Administration and Maintenance: 

    • Manage the day-to-day administration, configuration, and maintenance of the Odoo ERP system.

    • Ensure system security, data integrity, and optimal performance.

    • Coordinate and implement system updates, patches, and upgrades.

  • Application Management: 

    • Oversee the management and support of other key business applications used within EATH.

    • Ensure seamless integration between the ERP system and other relevant applications.

  • User Support and Training: 

    • Provide ongoing support and troubleshooting for ERP and other application users.

    • Develop and deliver training programs and materials to ensure effective user adoption. (Leveraging the Odoo eLearning platform as outlined in the Learning and Development Plan)

    • Should oversee the learning and Development plan of making Odoo common knowledge within EATH and create a plan and follow up to ensure all identified staff and stakeholders complete Odoo's training from Odoo's eLearning platform.

    • Should organize an in-house Odoo training for all employees on a recurrent basis.

  • Process Optimization: 

    • Work closely with business units to understand their processes and identify opportunities for optimization through the ERP system.

    • Learn and understand Odoo's workflow and best practices, and align EATH's business processes towards it for faster implementation and in alignment with the BPI - Business Process Improvement Unit.

    • Contribute to the development and enforcement of Business Process Management (BPM) methodologies and Standard Operating Procedures (SOPs).

  • Reporting and Analytics: 

    • Develop and maintain reports and dashboards to provide insights into key business performance indicators.

    • Support data-driven decision-making across the organization.

  • Learning and Development: 

    • Collaborate with the Human Capital Unit to identify and address training needs related to ERP and other applications.

    • Participate in continuous learning and development activities to stay updated with the latest ERP trends and best practices.

Job Requirements

Qualifications and Experience

  • Bachelor's degree in Information Technology, Computer Science, Business Administration, or a related field.

  • Proven experience (minimum of 5 years) in managing ERP implementations and providing ongoing support, preferably with Odoo ERP.  

  • Strong understanding of business processes within a trading, distribution, or similar industry (preferably).

  • Excellent project management skills with a track record of successfully delivering technology projects on time and within budget.

  • Strong analytical and problem-solving skills.

  • Excellent communication, interpersonal, and stakeholder management skills.   

  • Ability to work independently and as part of a team.   

  • Experience with database management and reporting tools.

  • It is preferable if the candidate is Odoo certified, but if not, the candidate should get certified on the latest version of Odoo within 6 months of joining EATH.

Desirable Skills:

  • Experience with other business applications relevant to trading and distribution.

  • Knowledge of ITIL framework or other IT service management best practices.

  • Experience in developing and delivering user training programs.
