We are seeking a highly organized, detail-oriented, and proactive Executive Secretary to provide comprehensive administrative and secretarial support to the school's leadership team. The ideal candidate will be a highly skilled professional with exceptional communication, interpersonal, and problem-solving abilities, capable of managing a wide range of administrative tasks efficiently and discreetly.
Manage the leadership team's calendars, schedule appointment, and coordinate meeting, conferences, and events.
Serve as the primary point of contact for stakeholders
Prepare and edit correspondence, reports, presentations, and other documents with accuracy and professionalism.
Maintain organized filling systems, both electronic and physical, ensuring confidentiality and easy retrieval of information.
Handle phone calls, emails and other communication, prioritizing and responding appropriately.
Assist with the preparation of meeting agendas, take accurate minutes, and follow up on action item.
Coordinate travel arrangements, including booking flights, accommodations, and ground transportation.
Manage office supplies and ensure the efficient operation of office equipment.
Assist with the organization of school event and activities.
Perform other administrative as assigned.
Qualification and experience
Bachelor's degree in secretarial science, business Administration, or a related field preferred.
Proven experience (minimum of 7 years) as an Executive Secretary or Senior administrative assistant, preferably in an educational setting.
Excellent command of written and spoken English. Proficiency in other languages is an advantage.
Strong computer skill, including proficiency in Microsoft Office suite (Word, Excel, power point).
Exceptional organizational, time management, and multitasking skills.
Demonstrated ability to handle confidence information with discretion and professionalism.
Excellent communication, interpersonal, and problem-solving skills.
Ability to work independently and as part of a team.
A proactive and positive attitude with a strong work ethic.
