Job Description
Job Title: Facility / General Services Manager
Department: Administration / Operations
Reports To: Deputy General Manager /CCSO
Location: [Addis Ababa]
Job Type: Full-time
1. Job Purpose
To ensure the efficient and cost-effective management of all facilities and general services within the organization, including building maintenance, security, utilities, transportation, office supplies, and other support services. The role ensures a safe, functional, and well-maintained working environment for all employees and visitors.
A. Facility Management
Oversee the operation and maintenance of company buildings, grounds, and infrastructure.
Coordinate preventive and corrective maintenance services (electrical, plumbing, HVAC, etc.).
Follow up with assigned maintenance employees to ensure all maintenance works are completed promptly and effectively.
Regularly check that maintenance activities align with requirements and standards.
Coordinate with external visitors or contractors for maintenance-related activities (e.g., Ethio Tele tours), ensuring proper access and smooth execution of tasks.
Supervise contractors, cleaners, security personnel, and maintenance staff.
Ensure compliance with health, safety, and environmental regulations.
Manage space planning, renovation, and office layout changes.
B. General Services
Oversee procurement and inventory of office supplies, furniture, and equipment.
Communicate with the procurement person to order and purchase maintenance, repair, and cleaning materials, ensuring timely delivery.
Manage fleet and transportation services, ensuring optimal use of company vehicles.
Ensure proper delivery of mail, courier, and other logistical services.
Supervise housekeeping, sanitation, and waste disposal services.
Manage utilities (electricity, water, internet, etc.) and ensure uninterrupted services.
C. Security and Cleaning Operations Management
Ensure implementation of comprehensive security protocols, including surveillance systems and on-site personnel coordination by the security agency.
Ensure the cleaning team maintains high standards.
Coordinate the purchase and management of cleaning supplies and equipment by communicating with the cleaning head and procurement person for timely purchases.
D. New Construction
Serve as the internal coordinator for all new construction projects, ensuring clear communication with outsourced teams.
Monitor project timelines, milestones, budgets, and quality standards.
E. Budgeting and Cost Control
Prepare and manage the facility, services, and property-related budgets.
Identify opportunities for cost-saving and energy efficiency.
Monitor and control expenses related to facility operations, general services, maintenance, and construction.
Communicate with the Deputy General Manager to request and release budgets for property-related activities.
Provide weekly reports on maintenance, construction, and other building-related budgets.
F. Vendor and Contract Management
Negotiate and manage service contracts with external vendors.
Ensure vendor performance aligns with contractual obligations.
Conduct periodic evaluations and recommend contract renewals or terminations.
G. Team Leadership and Reporting
Lead and develop the facility/general services team, including setting performance targets.
Conduct regular inspections and audits of facilities and services.
Maintain records for all operational activities.
Submit timely reports on facility conditions, service levels, incidents, budget status, and property performance, including detailed monthly and quarterly reports to senior management on property performance and security updates.
Ensure compliance with company policies and external regulations.
Qualifications and Experience
Requirement Details Education: Bachelor's degree in Facility Management, Business Administration, Engineering, or a related field. A master's degree is a plus.
Experience Minimum of 5–7 years of experience in facility management or general services, with at least 3 years in a supervisory or managerial role.
Certifications : Professional certification in facility management (e.g., IFMA, FMP, PMP) is an advantage.
Technical Skills : Knowledge of building systems, maintenance practices, safety regulations, and contract management.
Soft Skills Strong leadership, problem-solving, communication, and organizational skills. Ability to work under pressure and manage multiple priorities.
