Summary:
As the Executive Assistant, you will play a pivotal role in ensuring the efficiency and smooth operation of the CEO’s office. Reporting to and supporting the Chief of Staff, this role manages both strategic and administrative tasks critical to the CEO’s agenda. The ideal candidate is highly organized, proactive, and composed under pressure, with excellent communication skills, a strong sense of discretion, and the ability to thrive in a fast-paced, agile environment.
Executive Support & Coordination
Serve as a key liaison between the CEO, Chief of Staff, and internal/external stakeholders, ensuring professional and timely communication.
Manage calendars, schedule meetings, and coordinate complex travel arrangements, ensuring optimal use of the CEO’s and Chief of Staff’s time.
Proactively anticipate needs, prepare briefing materials, and follow up on action items to ensure seamless execution of daily priorities.
Communication & Stakeholder Management
Screen and prioritize emails, calls, and inquiries directed to the CEO and Chief of Staff, responding where appropriate and escalating as necessary.
Maintain positive, productive relationships with clients, partners, and staff, always representing the CEO’s office with patience, and professionalism.
Draft, review, and proofread correspondence and other documents with accuracy and attention to tone and detail.
Office & Information Management
Maintain an organized filing and documentation system to ensure accuracy, accessibility, and confidentiality of all executive records.
Support the operational and administrative needs of the CEO’s office, including expense reporting, office supplies, and logistics coordination. This includes managing flight bookings, visa processes, hotel accommodations, and other travel arrangements to ensure smooth and efficient executive travel.
Discretion & Confidentiality
Handle sensitive information with absolute discretion and professionalism.
Uphold high ethical standards and maintain strict confidentiality regarding company information and internal discussions.
Personal Assistance (as needed)
Provide personal support to the CEO, including scheduling personal appointments and managing personal correspondence.
Education: Bachelor’s degree in Business Administration, Communications, or related field preferred.
Experience: Minimum 4 years of experience supporting C-level executives in a fast-paced environment, preferably within fintech, financial services, or similarly demanding industries.
Skills & Attributes:
Exceptional verbal and written communication skills in both English and Amharic. English proficiency (written and verbal) will be tested during the selection process.
High emotional intelligence, patience, and composure under pressure.
Proactive, self-motivated, and able to take initiative without constant supervision.
Strong organizational and time management skills; ability to manage multiple priorities with competing deadlines.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant productivity tools.
Flexibility, agility, and a can-do attitude in a high-performance culture.
