Première Urgence Internationale (PUI) is a non-governmental, non-profit, non-political and non-religious international aid organization. Our teams are committed to supporting civilians’ victims of marginalization and exclusion, or hit by natural disasters, wars and economic collapses, by answering their fundamental needs. Our aim is to provide emergency relief to uprooted people in order to help them recover their dignity and regain self-sufficiency.

PUI works in 10 areas of intervention and distinguishes itself by the implementation of an integrated approach in its response. This method aims to identify and understand the needs of all those affected by a crisis. Our teams come together to bring a rapid global response to the basic needs of populations affected by humanitarian crises to help them regain independence and dignity.

PUI in Ethiopia:

Following the north Ethiopia conflict which erupted in 2020 and the reports of recurrent drought which is affecting the life and livelihood of millions in different regions of Ethiopia, PUI decided to contribute its part to address the humanitarian needs triggered by both manmade and natural disasters. PUI has been registered with FDRE Authority for Civil Society Organization (ACSO) since June 22, 2022, to enable the organization to operate legally in the country.

Since then PUI has been providing humanitarian assistance in Afar and Benishangul Gumuz Regional States addressing the needs of population affected by both manmade and natural disasters. The organization has been exploring the potential gaps in terms of humanitarian assistance in the regions where it is currently intervening and other regions.

The current projects in Afar and Benishangul Gumuz regions are mainly focusing on creating better access to health and nutrition services for conflict and drought affected population. PUI is working in collaboration with local health authorities in providing support to revitalize the conflict affected health systems in those regions. In Metekel zone of BGRS, PUI is supporting Debatie health centre, and its cluster health posts, while in Afar, PUI is supporting Abala hospital nutrition program in Abala town of Afar region Kilbati Rasu zone and a health centre in Dallo woreda in same zone. PUI is also implementing nutrition programs in two health centres of Abala woreda.

PUI is expanding its scope of operations in the regions where it is currently active and other regions. Part of this strategy includes its plan to reach out to more woredas in Metekel zone of BGRS including Bullen and Dangur woredas in addition to Debatie woreda in 2024 and expand to refugee camps in Assosa zone, Kurmuk transit camp.

For this purpose, PUI is actively recruiting new staff in various disciplines of health for the new CDCs funded project in refugee camps in Assosa zone.

Under the supervision of the technical supervision of Logistics Officer the Logistics Assistant is responsible for providing support for the program activities, including maintaining and monitoring logistics plans.

The Logistics Assistant – supports the logistics officer in activities linked to the day-to-day management of equipment, store, premises (cleaners and cooks) and reports according to PUI standards and procedures in order to have the coordination base in optimal running conditions. He / She works under direct supervision of the Logistics Officer.

Tasks and Responsibilities

PREMISES

  • Organize and supervise cleaning (and regular disinfection if necessary) of premises and storage spaces

  • Ensure the staff collective space is in good working condition (tidiness, water, equipment functioning….)

  • Check and supervise the maintenance of the various open spaces (gardens, courtyards…) and ensure that domestic waste is correctly discarded.

  • Ensure the timely repair whenever needed in the coordination office and guesthouse

  • Ensure that all documentation for bills such as Electricity, DSTV etc are compiled and shared with the logistics officer

EQUIPMENT

  • Assist in codifying all PUI equipment according to PUI procedures

  • Locate all equipment and check the availability of the equipment on a regular basis in all designated places

  • On a regular basis check that all equipment is working properly (water dispenser, gas cooker, printer, scanner, micro vave, refrigerators…)

  • Inform the line manager in case of equipment dysfunction under the cooks / cleaner’s responsibility

  • Ensure that all the machine’s paper (printer, scanner) and water dispenser are full

  • Supervise the loading and unloading of goods/materials

STORE MANAGEMENT

  • Stand as the focal point for all issues regarding the warehouse/store for the coordinatiion office

  • Ensure the formal communication linked to the store within the coordination office – stationery and consumables

  • Manage and organize the reception, storage and dispatch of all supplies at the Coordination base store

  • Ensure all requests of stock are sent and delivered to the requesters in a timely manner

  • Communicate all delays or variances in inbound/outbound freight to the appropriate parties

  • Monitor the quality of products at the time of reception, in coordination with the Supply-chain Team

  • Regularly monitor the quality of products during storage. Pay special attention to expiration dates (if applicable)

  • Plan warehouse layout and space requirements (to prevent loss or damage and achieve warehouse optimization) and organize the implementation

  • Express his / her needs for daily workers to the Logistic Officer

  • Assist with monthly rolling stock takes and the annual stock take, reconciling inventory records with physical counts and sharing the monthly report to the Logistic Officer

  • Issues all required office items to staff

PROCUREMENT

  • Prepare orders for his/her sector of activity, do the follow-up, and check their proper reception and state

  • Collect purchased items from the Supply department and dispatch them to the relevant requesters

  • Collect necessary documents from the Supply department regarding the procurement process for storage purposes

  • Initiate the process of replenishment of stock items

DOCUMENTATION AND REPORTING

  • Give daily report to the Logistics Officer about the progress of the logistics activities

  • Submit the monthly reports that apply to his / her domain to the Logistic Officer

  • Archive and centralize logistics files related to his domain

The tasks and responsibilities defined in this job description are not exhaustive and can evolve depending on the project needs. The employee could be requested to perform other tasks as his/her Line Manager may judge necessary.

Job Requirement

Required Qualifications and Professional Experience

  • Diploma or Degree in Logistics and Supply and other related fields

  • Training in logistics, procurement and ICT tools.

  • Minimum of 2 years experience out of Which 1 year in INGO experience with Similar activities. 

Required knowledge & skills:

  • Compliance with safety Rules

  • Computer skills: good knowledge of the MS office software including word, outlook. excellent in excel.

Language:

  • English, Amharic, and any other local language.
