Job Description

The HR Officer at East African National Distribution S.C. (EAND) supports the Human Resources and General Services functions by ensuring the implementation of HR strategies, policies, and procedures aligned with EAND and East African Holding standards. The position plays a key role in recruitment, employee onboarding, performance tracking, compliance, training coordination, general office services, facility support, and asset tracking. The HR Officer contributes to creating a productive, compliant, and safe work environment while delivering essential administrative services to ensure operational continuity

Duties and Responsibilities

1. Recruitment & Onboarding

  • Assist in the preparation and posting of job vacancies.

  • Coordinate interview scheduling and follow up on candidate communications.

  • Facilitate onboarding and induction programs for new employees.

  • Ensure documentation completeness and data entry in HR systems.

2. Employee Records & HR Operations

  • Maintain complete and accurate employee records in both soft and hard copy.

  • Track leave balances, employee changes, and contracts.

  • Prepare and submit periodic HR reports, headcount updates, and turnover summaries.

3. Policy Compliance & Labor Relations

  • Implement EAND and EAH HR policies and labor law requirements.

  • Serve as a point of contact for employee policy queries.

  • Assist in grievance handling and disciplinary documentation.

4. Performance Management Support

  • Support the administration of probation, mid-year, and annual evaluations.

  • Track and monitor Individual Development Plans (IDPs) and performance timelines.

  • Follow up on departmental appraisal compliance.

5. Training & Development

  • Coordinate employee training schedules and logistics.

  • Maintain training attendance records and feedback documentation.

  • Support internal knowledge-sharing sessions.

6. General Services and Administration

  • Ensure regular office cleaning, sanitation, and maintenance services.

  • Coordinate with service providers for facility repairs, electricity, water, and waste systems.

  • Monitor the availability of office supplies and utilities; initiate purchase requests.

  • Support movement and tagging of office assets and furniture.

  • Follow up on guest reception, meeting room setup, and other admin tasks.

7. Logistical & Facility Coordination

  • Liaise with support staff (drivers, cleaners, security) for smooth facility operations.

  • Assist in coordinating office moves, repairs, and workstation arrangements.

  • Support management in event and meeting preparations.

Job Requirements

Education:

  • Bachelor's degree in Human Resource Management, Business Administration, Management, or related fields.

Experience:

  • Minimum of 3 years of relevant experience in Human Resource Management or General Services.

  • Experience in HR operations, records management, and office administration is preferred.

  • Familiarity with ERP/HRIS systems is a plus.

Knowledge, Skills, and Competencies:

  • Strong knowledge of HR practices and Ethiopian labor law.

  • Excellent organizational and coordination skills.

  • Good communication, conflict resolution, and interpersonal abilities.

  • Strong computer skills (MS Office, Excel, Word, HRIS).

  • Confidentiality, integrity, and a service-oriented mindset.
