Job Description
Willows International Ethiopia -
Established in the United States in 1997, Willows International (WI) is an international non-profit organization dedicated to improving reproductive health and rights. WI works towards the achievement of this goal by improving the service provision capacity of community level health care providers through training and providing them with user friendly systems and tools in service delivery and client management.
The primary goal of Willows International is to help women, particularly those in disadvantaged situations, through increasing their access to quality services by developing and implementing systems that improve the service provider’s effectiveness and performances. We improve service providers’ knowledge and skills at the community level in two areas: 1) By updating their counseling and interpersonal communication skills as well as their reproductive health knowledge, 2) By training them and providing post training supervision and support in the use of user-friendly client management tools that help them prioritize their services to the clients and enable them to perform timely follow-ups. To achieve this, Willows International has developed a unique client management system and set of tools called the Willows Box System (WBS) that enables Health Extension Workers (HEWs) to provide customized counseling, referral, and follow-up services to women and men they serve and to improve the way they manage their time and services. This intervention not only achieves more effective and efficient HEW services, but it also results in client behavioral change in seeking and obtaining contraceptive and abortion services that lasts beyond the implementation period of the Willows programs, throughout their reproductive years.
The Ethiopia Finance/Operations Manager will report to the Country Director, Willows International – Ethiopia and works closely with the Global Finance Director.
Oversee all accounts, ledgers and reporting system ensuring compliance with all appropriate accounting standards and regulatory requirements
Maintain internal controls and safeguards for all expenditures and assets.
Prepare expenditure reports (Budget Performance Reports) on a monthly basis consistent with approved budgets and with proper approvals
Support the Country Director in preparing budget forecasts and donor financial reports
Manage Ethiopia Country office cash flow position and prepare appropriate documents for cash request from USA office.
Assist the Country Director in developing and preparing annual budgets.
Prepare expenditure vouchers for the Country Directors’ approval and make payments when all approvals are completed.
Prepare monthly payroll for Ethiopia office staff, make required deductions with payments to taxing authorities. Reconcile payroll to accounting records.
Review Tax information returns and makes tax payments if required to taxing authorities.
Maintain office petty cash and prepare petty cash summaries and physical cash counts on a regular basis.
Maintain Bank accounts according to Willows International policy and reconcile bank accounts regularly at the minimum monthly.
Maintain monthly closing procedures and prepare month end reports for submission to the USA office.
Maintain inventory records for assets and supervise the physical position of all assets and inventory.
Work closely with the external auditors in the preparation on the audited financial statements and the Agreed Upon Procedures report.
Maintain and update financial and operations procedures with the approval of the Country Director and the USA office.
Maintain Personnel files and Paid time off tracking of all staff in the Ethiopia office.
Oversee procurement processes to ensure cost-effective purchasing and compliance with procurement guidelines.
Review and manage lease agreements and vendor relationships.
Perform other duties assigned by the Country Director and USA Headquarters.
Work Conditions and Place
The workplace is in Addis Ababa, Ethiopia.
Travel to program implementation sites for compliance monitoring is required.
The position is full-time.
A degree in Business or Accounting. Master’s degree/Professional certification Preferred.
A minimum of Seven years of experience in working with a non-profit organization accounting department in Ethiopia
Experience working with QuickBooks accounting software, preparing reports in QuickBooks and Excel.
Strong leadership, strategic planning, and project management skills.
Solid experience coordinating audit activities and managing reporting, budget development, accounts payable, general ledger and payroll.
Technology savvy and significant experience in the use of QuickBooks software.
Familiarity with HR administration and Ethiopian labor laws.
Commitment to Willows mission and values, with a passion for advancing reproductive health and rights in Ethiopia.
