Job Description

The PMO Assistant provides essential administrative and coordination support to the Project Management Office (PMO) team. This role ensures the smooth operation of project activities, proper documentation, timely reporting, and effective communication across all stakeholders involved in the project lifecycle.

Key Responsibilities:

  • Administrative Support:
     Prepare meeting agendas, take notes during meetings, and distribute minutes.

  • Documentation & Reporting:
     Maintain and organize project files, update project management tools, and prepare regular status reports.

  • Communication Facilitation:
     Serve as a point of contact between project managers, team members, stakeholders, and clients.

  • Task Management:
     Help in scheduling, tracking progress, and ensuring deadlines are met.

  • Project Coordination:
     Arrange project-related meetings, events, and site visits.

  • Office Management:
     Monitor office supply inventory and ensure availability of necessary equipment and tools.

Job Requirements

Required Skills & Qualifications:

  • Organizational Skills:
     Ability to handle multiple tasks, prioritize efficiently, and maintain detailed records.

  • Communication:
     Strong written and verbal communication skills; professionalism in dealing with diverse teams.

  • Technical Proficiency:
     Familiarity with project management software, Microsoft Office.

  • Problem-Solving:
     Aptitude for identifying bottlenecks and assisting with timely resolution.

  • Attention to Detail:
     High level of accuracy in tracking and documenting project data.

  • Teamwork & Collaboration:
     Experience working effectively in team environments.

  • Adaptability:
     Open to change, able to shift focus and priorities as needed in dynamic project settings.

Job Requirements

  • A bachelor's degree in Project Management, Business Administration, Management, or a related field.

  • Prior experience in project coordination, project administration, or similar roles is a plus.
