HST is looking for a career oriented self-motivated who is experienced in providing day-to-day administrative support to the Partner/Director and staff in the department.
Provide required administrative support to the partner/Director by ensuring proper implementation of the laid down administrative procedures and providing input for continuous improvement
Ensure that follow up/reminder to all Debtors are sent out within specified periods
Oversee the running of the departmental registry by ensuring that client files and other files are opened and closed in time and/or the agreed guidelines, records are up-to-date and that the departmental library is properly maintained and run
Perform background research/collect information for various special reports required by the Partner/Director and present the findings in a usable form
Contribute to and handle marketing and other communication on behalf of the Partner/ Director, Including tracking proposals and publications
Coordinate logistics and plan for meetings, book rooms, prepare agenda, presentation materials and minutes, ensure that catering services and other necessary materials are available, and follow up on the agreed action points
Any other duties as may be assigned from time to time.
Minimum Educational Qualification & Experience
University degree preferably in Secretarial studies, Human Resource, Public Administration, Sociology, Social Sciences, Art, or related field
Basic secretarial training is an added advantage
A minimum of 2 years of experience in providing reception, secretarial or administrative services (especially in a large organization);
Required Job Related Skills
Ability to manage processes, maintain accurate records.
Excellent organization and planning skills with ability to handle work in an efficient and timely manner.
Proficient in IT, MS Office applications; and
Excellent interpersonal and communication skills.
