Job Description
The Office Secretary is a pivotal administrative role responsible for the efficient and smooth operation of an office. This position requires strong organizational skills, excellent communication abilities, and a proactive approach to supporting daily business functions.
Required Number: 1 (One)

I. Administrative and Clerical Support:
Correspondence Management: Draft, type, proofread, and distribute a variety of documents, including letters, memos, reports, emails, and presentations. Manage incoming and outgoing mail, faxes, and couriers.
Filing and Record Keeping: Organize, maintain, and retrieve physical and electronic files and records accurately and systematically. Ensure the confidentiality and security of sensitive information.
Scheduling and Calendar Management: Manage and maintain complex calendars for executives or teams, including scheduling meetings, appointments, and travel arrangements.
Meeting Support: Coordinate and prepare for meetings, including booking rooms, setting up equipment, preparing agendas, taking minutes, and distributing materials.
Equipment Maintenance: Ensure office equipment (e.g., copiers, printers, scanners, projectors) is in good working order and arrange for maintenance or repairs when necessary.
II. Communication and Coordination:
Telephone Management: Answer, screen, and direct incoming calls professionally and efficiently. Take accurate messages and ensure timely delivery.
Internal Communication: Facilitate effective communication within the office and between departments.
Client/Customer Interaction: Handle routine inquiries from clients or customers, providing information or directing them to the appropriate personnel.
III. General Office and Professional Responsibilities:
Professionalism: Maintain a professional and courteous demeanor at all times, representing the organization positively.
Confidentiality: Maintain strict confidentiality of all sensitive company information, data, and communications.
Problem-Solving: Proactively identify and resolve administrative issues or escalate them to appropriate personnel.
Organization and Prioritization: Effectively organize tasks, manage time, and prioritize responsibilities to meet deadlines.
Teamwork: Collaborate effectively with colleagues and contribute to a positive and productive work environment.
Adherence to Policies: Adhere to all company policies, procedures, and safety regulations.
Continuous Improvement: Seek opportunities to improve office processes and efficiency.
Education: Degree in Secretarial Science and Office Operations Management
Experience: 1 year and above
