Responsible for supporting high-level executives and management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.
Duties & Responsibilities:
Provide an advanced, efficient and confidential administrative service to CEO.
Schedule meetings and arrange conference rooms.
Attend meetings and keep minutes if necessary.
Alert the CEO about cancelations or new meetings.
Make travel arrangements for the CEO.
Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.
Receive and screen phone calls and redirect them when appropriate.
Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
Handle confidential documents ensuring they remain secure.
Maintain electronic and paper records ensuring information is organized and easily accessible also keep hard copy and electronic filing system.
Manage filing system ensuring files are accurately and timeously filed to ensure that it is on hand when requested.
Provide administrative and clerical support to the CEO.
Coordinates office management activities & maintain office procedures.
Determine matters of top priority and handle accordingly.
Plans events and volunteer activities.
Operate office equipment, such as photocopy machine and scanner.
Relay directives, instructions and assignment to executives.
Prepare CEO yearly office budget.
Conduct the ordering of stationery for the department as required.
Preserve an adequate inventory of office supplies.
Diploma in Secretarial Science and Office Management
5 years’ relevant work experience in secretarial services and office management activities.

Excellent PC literacy skills – Advanced Word/PowerPoint/Internet/ Excel
