Job Description

DEC is a local CSO established in 2007 and re-registered in May 2019 as per the new Authority for CSO Proclamation by the Ethiopian government, bearing a registration number of 0009. The organization has five major programs: Child Well-being and Education Development Program, Gender and Life Skill Development, Employable Skills Development Program, Advocacy, and Humanitarian Emergency Program. DEC actively works in six National Regional States and one city administration of Ethiopia, namely Amhara, Afar, Oromia, Tigray, Gambela, Benishangul Gumuz, and Addis Ababa City Administration.  DEC would like to recruit for the following position.

Role and Responsibilities 

  • Monitor and continuously improve the effectiveness of data management procedures and processes according to objectives.

  • Updating and maintenance of the document control database by monitoring all incoming/outgoing documentation and entering and management of document

  • Ensures the proper and smooth flow of documents and files out of the filing system of the Central Archive and the immediate return of documents to their appropriate places and follows-up on lost, missing, and misplaced files;

  • Arrange for the proper storage of inactive or dead files and the disposal of unusable records based on established policies and procedures;

  • Supervises the receipt and the registering, stamping, and indexing of incoming and outgoing letters, mail, and copies;

  • Evaluating records for preservation and retention – some may be fragile and need careful handling, repair, or conservation;

  • Ensuring all document control procedures are adhered to organization rules and regulations

Job Requirements

Qualification   BA/MA 

  • Diploma or certificate 

NGO/CSO Experience

  • At least 2-4 years

Additional Skills

  • Good communication skills in teamwork team mobilizations and partnership management;

  • Experience in facilitating and evaluating records for preservation and retention 

  • Ability to update and maintain the documents.
