Job Description

The Apartment Building Manager is responsible for overseeing the day-to-day operations, maintenance, and property owner and tenant relations of the building. This position ensures the building maintains high standards, responds to the needs of property owners and tenants, and guarantees that the property's safety and quality are always well-maintained. 

Location: Forest Hill Apartment, Addisu Gebeya in front of Sheger Menafesha.

Key Responsibilities

1. Administrative Responsibilities

  • Maintain organized records of all building information, operations, tenant and property owner data

  • Monitor and track maintenance schedules for elevators, generators, water pump, fire extinguishers, and other service equipment

  • Manage materials needed for building services in the storage area and order supplies as necessary

  • Prepare regular reports on overall building conditions, building operations, and maintenance issues for property owners and tenants

  • Work closely with the association board on budget and expense implementation matters, and prepare expense reports for the association board

  • Coordinate and supervise the work of maintenance contractors and service providers

  • Prepare necessary documents to support regular and emergency general meetings

  • Prepare and manage payroll records for employees

  • Ensure all building operations comply with local housing regulations

  • Maintain knowledge of housing and association organizing laws and stay updated on new regulations

  • Coordinate with government agencies (sub-city, district, Ethio Telecom, electricity authority, etc.) for incoming requests or maintenance work

2. Property Maintenance and Security

  • Conduct regular inspections of the building, common areas, and premises to identify maintenance needs

  • Regularly inspect building service equipment (water pumps, electrical systems, elevators, generators, fire extinguishers) and report issues to relevant parties

  • Coordinate water line, electrical service, and various utility maintenance work

  • Maintain generator log records and ensure equipment and fuel maintenance is carried out

  • Respond promptly to maintenance requests from property owners and tenants

  • Conduct regular security inspections of security systems, fire safety equipment, and emergency exits

  • Control, record, and monitor security personnel activities and procedures

  • Conduct regular security rounds around the property

  • Handle emergency situations according to established security systems

3. Environmental and Common Area Management

  • Establish and monitor building cleaning standards, evaluate the work quality of cleaning staff, and ensure cleanliness standards are maintained for all common areas, corridors, and outdoor spaces

  • Monitor waste management

  • Manage parking area administration and enforce regulations

4. Property Owner and Tenant Relations

  • Serve as the primary liaison for property owner and tenants’ questions and concerns

  • Coordinate tenant move-in and move-out processes

  • Prepare and provide receipts for all monthly payments

  • Notify property owners about necessary maintenance and potential future issues

  • Consult with property owners on property improvement plans

Compensation

  • Salary: Negotiable based on experience and qualifications

Working Conditions

  • Full-time position with on-call availability for emergencies

  • Office located on-site at Forest Hills Apartment Building

  • Regular interaction with tenants, property owners, contractors, and government officials

  • Physical demands include walking, climbing stairs, and conducting property inspections

Job Requirements

Required Qualifications

  • 7-10 years of proven experience in property management with strong communication and interpersonal skills

  • Understanding of building systems and maintenance (electrical, plumbing, elevators etc)

  • Experience dealing with government officials and regulatory agencies

  • Understanding of safety and security protocols

  • Basic computer skills

  • Basic financial management and budgeting skills

  • Leadership and team management experience

  • Problem-solving and decision-making capabilities

  • Attention to detail and organizational skills

  • Ability to work flexible hours and handle emergency situations

Additional Requirements

  • Knowledge of local housing laws, cooperative laws and regulations

  • Ability to coordinate with multiple contractors and service providers

  • Physical ability to conduct property inspections and handle maintenance oversight
